We're a tight-knit office that supports field crews across multiple active projects. This role sits at the center of our accounting and project administration — if you like owning your work, being trusted, and seeing the direct impact of accurate numbers, you'll do well here. The Role We're looking for an experienced Construction Bookkeeper / Office Administrator to keep our job costing accurate and our project paperwork moving. You'll work directly under and report to our Controller / Labor Compliance Manager, with hands-on training and support as you learn our systems. This is a hands-on role in QuickBooks Online Advanced, and the right person is detail-obsessed — every transaction gets to the right job, every bill gets coded correctly, and nothing falls through the cracks. Construction accounting experience is strongly preferred. If you've handled job costing, lien waivers, preliminary notices, and COIs before, you'll be up to speed quickly. What You'll Do Job Costing & Accounts Payable Process and categorize bank transactions in QuickBooks Online Advanced, ensuring every cost is applied to the correct project Cross-check transactions against vendor accounts to confirm which job each charge belongs to Enter vendor bills and accurately allocate them to the correct job and cost code Scan and enter receipts, matching them to bank transactions in QuickBooks Maintain clean, audit-ready job cost records Project Billing Assist with monthly and bi-monthly project billing Prepare and track Time & Material (T&M) tickets Support billing backup, documentation, and follow-up with clients Project Compliance & Documentation Request Certificates of Insurance (COIs) from our insurance broker and upload them to client portals Ensure a Preliminary Notice is sent on every new job, and track deadlines Maintain vendor and subcontractor documentation (W-9s, insurance certificates, compliance files) Payroll & Labor Compliance (occasional) Assist with payroll processing Support public works labor compliance, including certified payroll and eCPR submissions Help verify proper worker classifications and prevailing wage rates Office Administration General office support: filing, correspondence, supplies, and direct administrative support to the Controller / Labor Compliance Manager and management team What We're Looking For 3+ years of full-charge bookkeeping experience; construction industry experience strongly preferred Proficiency in QuickBooks Online (QBO Advanced and Projects/job costing a big plus) Working knowledge of construction documentation: preliminary notices, lien waivers, COIs, W-9s Familiarity with certified payroll / eCPR and prevailing wage compliance is a major plus Strong Excel skills and comfort learning new software Exceptional attention to detail and follow-through — you catch what others miss Ability to juggle multiple projects and deadlines without losing accuracy Professional, discreet, and trustworthy with confidential financial and payroll information Clear written and verbal communication with vendors, clients, and field staff Nice to have: DIR/eCPR portal experience, experience with construction project management software, notary commission.
