Job Description Summary:
Property Management company located in Coral Gables and Doral is seeking a full-time Accounting Clerk to join our growing accounting team. This position will be responsible for supporting the day-to-day accounting functions for a portfolio of properties, with a primary focus on Accounts Receivable (A/R) and Accounts Payable (A/P). The ideal candidate is a detail-oriented individual with excellent organizational and time-management skills and a strong understanding of bookkeeping and basic accounting principles.
Essential Duties and Responsibilities Accounts Payable Responsibilities:
  • Process and manage all A/P transactions, including entering invoices and processing check payments with internal property management software. Experience with AppFolio property manager software is a plus.
  • Review all invoices for accuracy, appropriate approvals, supporting documentation and apply accurate general ledger (GL) account coding.
  • Monitor outstanding invoices, ensure timely payments and effectively communicate with management team to resolve pending payables.
  • Perform accurate data entry for day-to-day financial transactions.
  • Maintain accurate and up to date electronic vendor records, including W-9 forms and other required documentation.
Clearly communicate (via telephone and/or email) with vendors, tenants and the property management team about any potential discrepancies or matters concerning billing and resolving issues in a timely manner.
Accounts Receivable Responsibilities:
  • Process and monitor incoming tenant rent payments, verify and post receipts to individual tenant account charges and resolve any discrepancies.
  • Prepare and make physical bank deposits of tenant payments, ensuring deposits are accurately documented.
  • Analyze past due accounts and initiate collections efforts via phone or in writing.
  • Respond to questions regarding overdue amounts and billing problems.
  • Collaborate with property management team to resolve on-going accounts receivable inquiries.
  • Reconcile the Accounts Receivable ledger to ensure all payments are accounted for and properly recorded.
  • Assist with bank reconciliations as needed.
  • Performs other accounting and administrative duties as assigned. Skills & Qualifications
  • At least 2-3 years of accounting, bookkeeping or related experience.
  • Property management or real estate accounting preferred.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and Teams)
  • Experience with AppFolio Property Management Software is preferred but not required.
  • Ability to multitask and meet deadlines
  • Organized with great attention to detail
  • Must have the ability to work independently, while also collaborating with property management teams and accounting teams.

    Pay:
    $40,000.00 - $42,000.00 per year
