Hourly Role Summary:
The Accounts Payable position is responsible for accurately processing invoices, maintaining vendor accounts, supporting payment activities, and assisting the Finance Department with account reconciliations, reporting, and month-end close responsibilities. This role ensures timely and accurate payment processing while maintaining organized records and professional communication with vendors, subcontractors, and internal team members.
Key Duties and Responsibilities:
  • Review and process invoices, vouchers, pay applications, check requests, etc., with correct coding.
  • Handles vendor/subcontractor correspondence via phone or email.
  • Matches purchase orders to incoming invoices and verify accuracy.
  • Process all account payable transactions.
  • Codes/manages/allocates/processes invoices, vouchers, expense reports, check requests, etc., to ensure proper entry into the financial system.
  • Investigates and resolves problematic accounts, or incorrect information.
  • Prepares batch check runs and ACH transactions.
  • Assists with monthly status reports, and monthly closings.
  • Reconcile various accounts, monthly, by identifying errors in posting or omissions and bringing any discrepancies to VP of Finance for resolution.
  • Process remittance information from ACH transactions for invoices provided by vendors, reviewing instructions accompanying items to determine proper disposition and crediting accounts.
  • Receives, researches, and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons.
  • Files, maintains, and distributes accounting documents, records, and reports.
  • Performs other duties as required to support Accounting Department.
  • Customer/client compliance and verifications.
  • Process, Reviews, and Corrects Expense Reports
  • Reconcile all invoicing to POs and customer's work orders and then prepare financial reports by collecting, analyzing, and summarizing account information and trends.
  • Other duties as assigned.
Qualifications:
  • 3-4 years accounts payable experience in the construction industry.
  • High School Diploma
  • Associate degree Preferred.
  • Strong organizational skills and attention to detail are a must.
  • Knowledge of AIA Billing, lien laws, NTO's, and job costing are required.
  • Sage 100, Sage Paperless or other equivalent system experience is a plus.
  • Advanced experience with Microsoft Office applications.
  • Excellent written and verbal communication skills.
