Job Description Evolution Law Group is hiring an experienced Legal Bookkeeper / Finance Lead to take full ownership of the financial operations of a growing law firm and additional businesses. We represent injured Floridians in PIP and bodily injury matters, and we also recover unclaimed property on behalf of our clients. Our case volume and the range of ways we get paid have both outgrown our current financial setup. We are looking for someone who has done this work inside a law firm before, someone who understands that a trust account is not a regular bank account, who knows what a settlement disbursement sheet looks like before it is handed to them, and who can keep multiple business accounts clean, current, and audit-ready without being chased. This is a lead role, not a data-entry role. You will own the firm's finance function end to end and be the person the managing attorney relies on to know exactly where every dollar sits, in operating, in trust, in case costs, in outstanding provider balances, and in recovered client funds. If you like running a function rather than a task list, and you work well inside a small, collaborative team, you will do well here. What You'll OwnTrust & Settlement Accounting Maintain the firm's IOTA/trust accounts in full compliance with the Rules Regulating The Florida Bar (Chapter 5), including monthly three-way reconciliations of the trust bank statement, the trust ledger, and individual client ledgers Prepare settlement disbursement statements and process client, provider, and lien payouts accurately and on time Maintain individual client trust ledgers with zero commingling and no negative balances Keep trust documentation organized and ready for a Bar audit at any time Accounting for additional businesses with lower volume Collections on unpaid invoices. Payments to Vendors. Multiple Fee Structures Not every matter in this firm gets paid for the same way, and the accounting for each is different.
You will manage all three:
Contingency:
calculate fees at settlement against the fee agreement, prepare Bar-compliant closing statements, and reconcile fee, cost recovery, and client net Retainer / hourly: hold advance fee deposits in trust, apply them against invoices as fees are earned, transfer earned amounts to operating, and monitor replenishment thresholds Monthly and flat-fee payment plans: run recurring billing, track payment status and delinquency, manage AR aging, and escalate collection issues before they age out Unclaimed Property Recovery Handle the accounting side of client unclaimed property claims, track claims in progress, record recovered funds into trust, and disburse client proceeds Calculate and document firm fees on recovered property within the statutory fee limits that apply to unclaimed property recovery in Florida (Chapter 717, Florida Statutes) Reconcile recoveries against claim files so that every dollar received is matched to a client and a claim Medical Liens, LOPs & Provider Payments Track and reconcile medical provider balances, letters of protection (LOPs), and health insurance/Medicare/Medicaid lien claims across bodily injury files Coordinate with case managers and attorneys on lien reductions and final payoff figures Issue provider payments at settlement and confirm balances are satisfied and documented Operating Accounts, AP/AR & Case Costs Manage accounts payable and receivable across multiple business accounts and entities Track and categorize advanced case costs by matter so costs are recoverable at settlement Reconcile operating accounts, credit cards, and merchant/payment processing deposits monthly Process vendor bills, expert and records invoices, and firm expenses Payroll & Reporting Process payroll and coordinate related filings with our CPA Maintain clean books across multiple entities and deliver monthly P&L, balance sheet, and cash-flow reporting to ownership Support year-end close, 1099s, and tax preparation with our outside accountant Flag trends, variances, and cash-flow issues before they become problems What We're Looking For (Required) Associate's or Bachelor's degree in Accounting (or a closely related field with equivalent bookkeeping coursework) 3+ years of bookkeeping experience inside a law firm : this is a hard requirement, not a preference Hands-on experience with attorney trust accounting (IOTA/IOLTA) , including three-way reconciliation Experience billing and reconciling more than one fee structure : contingency, retainer/hourly, and recurring or flat-fee arrangements Working knowledge of bodily injury case finances : settlement statements, medical liens, LOPs, provider payoffs, and advanced case costs Experience managing multiple business accounts or entities simultaneously QuickBooks (Online) proficiency Clio Manage / Clio Payments experience, or demonstrated ability to learn a legal practice management system quickly Advanced Excel / Google Sheets — pivot tables, lookups, building reconciliations and reports from scratch Exceptional accuracy and attention to detail; you catch the $12 discrepancy, not just the $1,200 one Discretion and absolute confidentiality with client funds and firm financials A genuine team player: you communicate proactively with attorneys and case managers, ask questions rather than guess, and are comfortable in a firm where everyone helps everyone Due to the nature of this position, a credit/background check and at least two direct supervisor references from prior law firms are required Nice to Have Exposure to unclaimed property recovery, escheatment, or Chapter 717 claims Trust accounting software experience (Clio's trust ledger, or similar) Bilingual English/Spanish Florida Notary commission (or willingness to obtain, we will cover the cost) Familiarity with Florida PIP billing and demand mechanics Why Evolution Law Group A firm small enough that your work is visible and valued, and growing fast enough that the role can grow with you Direct access to ownership — no layers of approval to get an answer Real ownership of the finance function rather than a narrow slice of it More variety than a standard bookkeeping seat: three fee models, two practice areas, multiple entities A team that genuinely likes working together Working at Evolution Law Group, P.A.
