On-site (full-time) Reports to: President of the school Position Summary We are looking for an experienced full time Accounts Officer to join our team to support the Office of the School Director. The Accounts Officer is responsible for providing the financial and accounting support to the School Director with the ongoing operations. The Accounts Officer is responsible for managing the financial integrity of the school. This includes overseeing all aspects of accounts receivable (tuition and fees), accounts payable, maintaining accounting records and financial information, payroll and financial reporting. Reporting directly to the President of the school, the Accounts Officer ensures that the institution operates within budget, maintains compliance with federal and state financial regulations, and provides transparent financial data to support the school's academic mission.Key Responsibilities:
Preparing journal entries to record payroll costs in the company's accounting software. Providing documentation and reports for internal audits or external regulatory audits (e.g., Department of Labor or Workers' Comp audits). Investigating and resolving payroll discrepancies and answering employee inquiries regarding pay checks. Overseeing the production and distribution of W-2 forms to employees and filing them with the Social Security Administration. Managing deductions for health insurance, 401(k) or 403(b) retirement plans, and Life/Disability insurance. Updating payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers. Calculating gross and net pay, including overtime, bonuses, commissions, and holiday pay. Collecting, verifying, and summarizing timekeeping information or timesheets for hourly employees. Ensuring the correct calculation and withholding of Federal Income Tax (FIT), Social Security, Medicare (FICA), and State/Local taxes. Preparing and filing quarterly and annual tax reports, such as Form 941 (Employer's Quarterly Federal Tax Return). Seeks to treat each member of the campus community with fairness, dignity and respect seeking a spirit of unity and harmony as we join together to achieve our common mission Manage the end-to-end student billing process, including tuition, clinical laboratory fees, and insurance costs. Collaborate closely with the Financial Aid office to ensure accurate disbursement of federal loans (Title IV), grants, and scholarships. Manage payments for clinical site rotations, medical supply vendors, and external educational resources. Maintain accurate 1099 records for adjunct clinical instructors and independent contractors. Assist the School Director in the annual budget preparation and provide "actual vs. budget" variance analysis. Maintain the General Ledger and ensure all journal entries are accurately coded to appropriate departments. Prepare documentation for annual financial audits and accreditation reviews (e.g., CCNE, ACEN).QUALIFICATIONS
Strong verbal and written communication editing skills. Strong computer skills, including demonstrated ability with Microsoft Office, especially Word, Outlook, Excel, and OneNote, include mail merge features, and with report/query tools. A highly motivated, well-organized and self-disciplined individual capable of working effectively with general directions and little face-to-face supervision. Top-notch organizational skills and attention to detail; ability to initiate, prioritize, and meticulously follow through on plans. Ability to "manage up" by understanding leadership styles, anticipating the needs, and proactively orchestrating next steps with strong organization and attention to detail. Ability to balance big-picture thinking with attention to detail. Ability to work well in a team environment, handle multiple assignments, and meet aggressive deadlines, frequently balancing multiple priorities. Creative and resourceful; ability to work in a diverse and collaborative environment as well as independently. A commitment to the values of the organization while demonstrating good judgment, flexibility, patience and discretion when dealing with confidential and sensitive matters.EDUCATION / EXPERIENCE
Bachelor's degree in Business with emphasis in accounting or closely related field from a regionally accredited college/university OR equivalent combination of education and experience. Mid-level to 3-4 years of working experience in accounting, preferable in higher education or a school environment. Computer literacy and proven skill with spreadsheets applications. Must have excellent attention to detail. Effective written and verbal communication skills and a customer services orientation are essential.
