The Accounting Specialist plays a key role in supporting both Accounts Receivable (AR) and Payroll functions, with a strong emphasis on compliance and process accuracy. This position is responsible for executing payroll audits, managing garnishments, processing manual checks, and delivering payroll training. On the accounting side, the role includes billing, collections, and accounts payable (AP) responsibilities. The ideal candidate will be detail-oriented, organized, and capable of working independently while collaborating with departments.
Duties/Responsibilities:
Conduct regular payroll audits to ensure accuracy, compliance, and timely processing. Process employee garnishments, wage attachments, and court-ordered deductions. Manage manual payroll check requests and coordinate check issuance. Assist with payroll processing, reporting, and payroll-related inquiries. Provide payroll training, guidance, and support to managers and staff. Support payroll wage adjustments, increases, and rate changes Accounts Payable (AP) Review, verify, and enter vendor invoices into the accounting system. Ensure invoices are accurately coded and properly approved before payment. Respond to vendor inquiries and resolve payment-related issues. Assist with monthly, quarterly, and year-end accounts payable reconciliations. Accounts Receivable (AR) Prepare and distribute customer invoices and billing statements. Monitor aging reports and follow up on outstanding accounts receivable balances. Apply customer payments accurately to appropriate accounts. Research and resolve payment discrepancies and billing issues. Communicate professionally with customers regarding overdue invoices and account status. Support month-end accounts receivable close activities and reporting.
Qualifications:
Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. Minimum of Three (3) years of experience in payroll, accounts payable, accounts receivable, or related accounting functions. Knowledge of payroll practices, accounting principles, and applicable regulations. Proficiency in Microsoft Excel and accounting/payroll software applications. Strong attention to detail with excellent organizational skills. Effective communication, customer service, and problem-solving abilities.
Position/Expected Work Hours:
This is an exempt full-time position; days and hours of work are Monday through Friday, 9:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
Required Skills:
Proficient in Microsoft Office 365 applications, payroll systems, and accounting software. Strong analytical, critical thinking, and problem-solving skills. Ability to maintain confidentiality and demonstrate the highest level of professionalism and integrity. Highly organized with strong attention to detail and accuracy. Excellent verbal and written communication skills. Ability to work independently and manage multiple priorities effectively. Ability to collaborate effectively with internal teams, vendors, and customers.
