Accounts Payable Administrative Assistant The Central Midwest Regional Council of Carpenters (CMRCC), is seeking an Accounts Payable Administrative Assistant for our Greenwood, IN office. Accounts Payable Administrative Assistant position is a key member of the Union's support network. Candidates should be positive, welcoming, and willing to learn. The Accounts Payable Administrative Assistant reports to the Comptroller. Position Summary The Accounts Payable Administrative Assistant is responsible for the accurate and timely processing of vendor invoices, corporate credit card reconciliations, and billing support functions. This role plays a key part in maintaining financial accuracy by ensuring proper expense coding, reviewing supporting documentation, identifying duplicate invoices, and assisting with various accounting and administrative duties. Essential Duties and Responsibilities Accounts Payable Process and enter vendor invoices into Microsoft Dynamics 365 Business Central. Review invoices for accuracy, completeness, and proper account coding. Verify that invoices have not been previously entered or paid to prevent duplicate payments. Research and resolve invoice discrepancies with vendors and internal departments. Maintain organized electronic records of invoices and supporting documentation. Assist with month-end accounts payable activities as needed. Corporate Credit Card Administration Reconcile and review corporate credit card transactions for approximately 140 employee cardholders. Verify that transactions are properly coded to the appropriate general ledger accounts. Ensure receipts and required supporting documentation are attached and comply with company policies. Follow up with employees regarding missing receipts, coding corrections, and policy compliance issues. Assist in preparing reports and documentation related to corporate card activity. Billing Support Assist with invoicing and billing activities for local unions, affiliates, and other customers as needed. Ensure billing information is accurate and supported by appropriate documentation. Respond to internal inquiries regarding billing status and payment information. Additional Responsibilities Provide support to the Accounting Department on various projects and administrative tasks. Maintain confidentiality of financial and employee information. Assist with audits and financial reporting requests as needed. Perform other duties and special projects as assigned. Qualifications Associate degree in Accounting, Business, Finance, or related field preferred; equivalent experience will be considered. Minimum of 2 years of accounts payable, accounting, bookkeeping, or related experience preferred. Experience with Microsoft Dynamics 365 Business Central or similar ERP/accounting software is preferred. Strong attention to detail and commitment to accuracy. Ability to identify and resolve discrepancies in a timely manner. Proficient in Microsoft Excel, Outlook, and other Microsoft Office applications. Excellent organizational, communication, and time management skills. Ability to manage multiple priorities and meet deadlines.
