Job Description

Position Summary Mello is seeking a highly organized, detail-oriented Bookkeeper for a full-time, 40-hour-per-week position providing administrative and coordination support across accounting, standard administration, and HR & compliance to a multi-entity company. The position will report directly to the Accounting Manager and will also work closely with and provide ongoing support to the Director of HR & Compliance. This is a support-focused role designed to provide reliable administrative, transactional, and organizational support across multiple areas of the business. The Bookkeeper will help manage routine processes, documentation, coordination, and follow-up, while final review, approval, and decision-making remain with the appropriate department leader. Accounting will be the primary focus of the role, with additional support provided to the CEO and Director of HR & Compliance. Responsibilities will include assisting with vendor coordination, document preparation, employee-related administration, scheduling, follow-up, and other general business needs as assigned. Day-to-day priorities may shift based on business needs, requiring flexibility, strong organization, and the ability to support multiple departments effectively. Primary Responsibilities Accounting Support
  • Manage full-cycle Accounts Receivable (AR), including invoice creation and entry, applying payments, maintaining accurate customer records, monitoring outstanding balances, and following up on past-due items.
  • Manage full-cycle Accounts Payable (AP), including vendor setup and approval, invoice entry, coding/document organization, preparing items for review and payment, and tracking outstanding vendor items through completion.
  • Perform account, transaction, banking, and sales report reconciliations, including matching receipts and resolving routine discrepancies.
  • Perform and execute offsets with reciprocal partners, ensuring transactions are accurately recorded and supported.
  • Assist with recurring financial reports, schedules, and supporting documentation for Accounting & Finance Management.
  • Maintain accurate multi-entity books and records, ensuring transactions are properly recorded across entities.
  • Research routine discrepancies, gather supporting documentation, and prepare findings for Accounting & Finance Management review.
  • Maintain organized accounting records and files and complete other routine accounting projects and administrative tasks as assigned.
Accounting Records:
Maintain organized, accurate accounting records and files, support document retention requirements, and complete routine accounting projects and administrative tasks as assigned. HR & Compliance Administrative Support Prepare and send offer letters and other standard employee documents using approved templates and HR direction as needed. Assist with onboarding administration, including forms, background checks, employee documentation, and follow-up. Assist with maintaining organized employee files and HR records. Track training requirements, certifications, licenses, renewals, and compliance deadlines. Support HR and Compliance trackers and dashboards. Provide routine follow-up with employees, managers, vendors, and outside partners as directed. Maintain confidentiality of employee, payroll, medical, and other sensitive company information. Executive & General Administrative Support Provide administrative support to the CEO, including correspondence, document preparation, scheduling, follow-up, and coordination of business matters. Coordinate with vendors and service providers on routine business needs. Manage administrative aspects of company vehicle insurance, including driver additions/removals, records, insurance documentation, and carrier communication. Coordinate facilities-related vendors and routine service appointments. Assist with company events, meetings, travel, scheduling, and special projects. Track outstanding action items and follow up with appropriate parties to help ensure deadlines are met. Prepare and organize documents and information for leadership review. Support other administrative needs across the organization as assigned. Any other duties as assigned by management. Qualifications & Key Attributes Prior administrative, office management, bookkeeping, accounting support, or similar experience preferred. Accounts Payable and/or Accounts Receivable experience strongly preferred. QuickBooks required. Cannabis experience preferred. Strong organization, attention to detail, and ability to manage multiple priorities. Strong written and verbal communication skills. Experience using AI tools to support research, drafting, organization, and day-to-day administrative efficiency is preferred. Comfortable working with employees, vendors, managers, and outside business partners. Proficiency with Microsoft Office, Excel Google Workspace, and the ability to learn company systems. Dependable, proactive, and consistent with follow-up. Able to work independently on assigned tasks while recognizing when an issue, exception, or decision should be escalated. Strong discretion and judgment when handling confidential information. Comfortable supporting multiple departments while understanding the distinction between supporting a process and making a decision within that process. Employee Requirements Applicants must be 21 years of age or older and able to obtain and maintain registration as a Marijuana Establishment Agent with the Massachusetts Cannabis Control Commission, as required for employment.
