In this role, you will be responsible for managing the company's accounts payable processes, ensuring timely and accurate payment of invoices, and maintaining strong relationships with vendors. Your expertise in financial software, accounting principles, and compliance standards will be vital to supporting our organization's financial health and operational efficiency. Benefits are available to employees who meet the Club's full-time eligibility requirements Duties Process high-volume vendor invoices accurately and in a timely manner. Match invoices with purchase orders, receiving documentation, and required approvals. Prepare and process weekly check runs and electronic payments. Reconcile vendor statements and resolve invoice discrepancies. Research and respond to vendor payment inquiries promptly. Process employee expense reports and reimbursements. Maintain organized electronic and physical accounts payable records. Ensure invoices are coded accurately to the appropriate general ledger accounts. Request, collect, and maintain W-9 documentation and required vendor records. Assist with annual 1099 reporting and vendor compliance. Assist with month-end close activities, including accruals and journal entries. Coordinate invoice approvals with department managers. Monitor and manage the Accounts Payable email inbox and incoming mail. Process check requests and ensure appropriate approvals are obtained. Manage the Club's petty cash fund, including disbursements, replenishment, reconciliation, and maintaining accurate supporting documentation. Prepare and make bank deposits on behalf of the Club in accordance with established cash handling procedures. Coordinate the purchase of office and business supplies. Requirements Proven experience in accounts payable or related accounting roles with strong understanding of bookkeeping and financial concepts. Proficiency in accounting software. Skilled in Excel data analysis using formulas like VLOOKUP, pivot tables, and advanced spreadsheet functions for reporting and reconciliation tasks. Ability to handle confidential information discreetly while managing multiple priorities under tight deadlines. Excellent analytical skills with attention to detail and accuracy in data entry and account reconciliation tasks.
