Manager & Benefits Administrator M-CO Wiring / MCO Data Services is seeking an experienced, organized Bookkeeper / Office Manager & Benefits Administrator to manage the day-to-day financial and administrative functions of our growing low-voltage contracting company. This is a hands-on position for someone who can take ownership of the office and keep the financial side of the business organized, accurate, and moving. We are looking for someone who understands bookkeeping and accounting but is also comfortable handling employee onboarding, benefits, insurance, billing, and general business administration. Key Responsibilities Bookkeeping & Accounting Manage Accounts Payable (A/P) and Accounts Receivable (A/R) Prepare and send customer invoices and track outstanding receivables Enter and properly categorize expenses Reconcile bank and credit card accounts Maintain accurate books and general ledger Perform job costing and cost accounting by project Track labor, materials, subcontractors, travel, and other project costs Prepare and review monthly Profit & Loss statements Identify unusual expenses, missing costs, billing issues, or margin problems Coordinate with ownership, payroll provider, CPA, and tax professionals as needed Employee & Benefits Administration Onboard new technicians and employees Collect required employment, payroll, insurance, and company documentation Enroll and remove employees from company benefit programs Administer our small-company benefits portal Manage employee auto insurance enrollment and obtain current insurance cards Maintain employee insurance and benefits records Verify benefit and insurance bills are accurate and paid on time Assist employees with routine benefits and enrollment questions Office & Business Administration Manage company gas/fuel card accounts, users, receipts, and billing Maintain vendor accounts and recurring company expenses Track certificates, insurance documentation, W-9s, and other required paperwork Help ensure technicians and subcontractors have required documentation before deployment Maintain organized digital financial and employee records Follow up on past-due customer invoices Assist ownership with financial reporting and administrative needs What We're Looking For The right person is detail-oriented, accountable, financially minded, and comfortable taking ownership without needing constant direction.
Ideal qualifications include:
3+ years of bookkeeping, accounting, or similar financial administration experience Strong experience with A/P, A/R, invoicing, reconciliations, and general bookkeeping Understanding of P&L statements and job/cost accounting Experience with QuickBooks or similar accounting software Strong Excel/Google Sheets skills Experience administering employee benefits or insurance is preferred Experience with construction, electrical, low-voltage, service, or another project-based business is a major plus Excellent organizational and follow-up skills Ability to handle confidential employee and financial information Comfortable working directly with business owners in a small-company environment What Success Looks Like Our books are current and reconciled. Customers are invoiced promptly. Past-due A/R is actively followed up on. Bills and benefits are paid correctly and on time. New employees are onboarded properly. Insurance cards and required documentation are current. Project costs are captured accurately, and ownership can rely on the P&L and job-costing information to understand where the company is making or losing money. This is an important position within our company. We need someone who doesn't simply enter transactions—we need someone who owns the administrative and bookkeeping process and makes sure things don't fall through the cracks.
