Job Description

Job Summary We are seeking a Bookkeeper/Executive Assistant to handle owner-level responsibilities for our restaurant bar and expanding companies (additional restaurants and property management under construction). This role manages full-cycle bookkeeping in QuickBooks Online, accounts payable and receivables, payroll processing and entry into ADP, team spreadsheets, editing SOPs, and comprehensive administrative support. You will work closely with the owners on all day-to-day tasks to ensure smooth operations and accuracy. Responsibilities Manage day-to-day bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and bank reconciliations Maintain accurate financial records and prepare reports for management review Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls professionally Support office management activities including filing, data entry, and document proofreading Assist with calendar management and scheduling appointments for team members or clients Provide excellent customer service via phone and in person, addressing inquiries promptly and courteously Organize and maintain office supplies, files, and electronic documents using Microsoft Office, Google Workspace, and spreadsheets Skills Proficiency in QuickBooks for bookkeeping and financial management Strong computer literacy with experience in Microsoft Office Suite (Word, Excel), Google Workspace, and productivity software Excellent organizational skills with the ability to multitask efficiently in a busy office setting Effective phone communication skills with proper phone etiquette on multi-line systems Experience with front desk operations, medical or dental receptionist duties is advantageous Data entry accuracy combined with proofreading skills to ensure error-free documentation Knowledge of office management best practices along with clerical experience and administrative expertise Ability to prioritize tasks effectively while managing time efficiently in a fast-paced environment Strong client communication skills coupled with customer support experience This role is perfect for someone eager to grow professionally while supporting daily office functions.
