2015-certified quality management system. Position Summary HFC is looking for a solid financial resource skilled with accounts payable and receivables. This individual is someone who takes pride in accurate books, closes out the day's work before going home, and treats every invoice and payment like it matters. This role owns the day-to-day accounts payable functions and is able to act as back up for accounts receivable and supports general bookkeeping and month-end closing. The ideal candidate combines a strong sense of urgency with meticulous attention to detail, catching discrepancies before they become problems and keeping cash flow moving. Key Responsibilities- Process accounts payable: match invoices to purchase orders and receiving documents, code and enter bills accurately, obtain approvals, and issue timely payments to vendors.
- Provides back up as needed to accounts receivable: sending out customer invoices promptly, apply payments, monitor open balances, and follow up on past-due accounts.
- Reconcile vendor statements, resolving discrepancies quickly and proactively.
- Assist with the general ledger as needed with account reconciliations.
- Reconcile bank and credit card statements on a regular schedule.
- Prepare aging reports for accounts payable and flag issues to management before they become urgent.
- Prepare and file monthly and quarterly sales tax reports.
- Assist Comptroller with month-end and year-end closing tasks.
- Track expenses and assistance with basic budget monitoring.
- Ensure sales tax, vendor W-9s, and 1099 filings are handled accurately and on time.
- Identify and escalate billing errors, or collection issues promptly. Qualifications
- 3+ years of hands-on bookkeeping, accounts payable, and/or accounts receivable experience, ideally in a manufacturing or small-to-midsize company environment.
- Strong working knowledge of general bookkeeping principles and double-entry accounting.
- Proficiency with accounting software (e.g., QuickBooks or similar ERP/accounting system) and Microsoft Excel.
- Exceptional attention to detail and accuracy — comfortable double-checking work and catching small errors before they compound.
- A strong sense of urgency - treats deadlines (invoicing, payment runs, close dates) as non-negotiable and follows through without oversight.
- Solid organizational skills and the ability to manage a steady, recurring workload with competing deadlines.
- Trustworthy and discreet with sensitive financial and company information.
- Clear, professional communication skills for interacting with vendors, customers, and internal staff on payment matters.
- Associates degree in accounting, business, or related field preferred; equivalent hands-on bookkeeping experience will be considered in place of a degree.
