Position Summary The Accounting Specialist manages core transactional accounting functions, including customer invoicing, accounts receivable and collections, accounts payable, and payroll processing. This role is central to maintaining healthy cash flow, strong vendor and customer relationships, and accurate financial records. The ideal candidate is organized, comfortable working with numbers and deadlines, and able to communicate professionally with customers, vendors, and employees. Key Responsibilities Invoicing and Accounts Receivable Prepare and issue accurate, timely invoices based on contracts, orders, or project milestones Record and apply customer payments, and reconcile AR accounts Maintain customer billing records and resolve billing discrepancies Prepare AR aging reports and flag issues to management Collections Monitor past-due accounts and follow up with customers by phone and email Negotiate payment arrangements when appropriate, and document all collection activity Work with sales or account management to resolve disputes affecting payment Recommend accounts for escalation or write-off per company policy Accounts Payable Process vendor invoices, including coding, matching to purchase orders or receipts, and routing for approval Prepare and schedule vendor payments (check, ACH, wire) in line with payment terms and cash flow priorities Maintain vendor files, including W-9s, and support year-end 1099 preparation Reconcile vendor statements and respond to vendor inquiries Review employee expense reports for policy compliance Payroll Processing Process weekly payroll for employees across multiple states Maintain payroll records, including new hires, terminations, pay changes, deductions, and benefits Review timekeeping data for accuracy and resolve discrepancies Ensure compliance with federal, state, and local payroll tax requirements Reconcile payroll to the general ledger and support quarterly and year-end filings (941s, W-2s) Handle payroll-related employee questions with confidentiality and care General Accounting Support Assist with month-end close, including account reconciliations and journal entries Support annual audits and tax preparation by providing documentation Identify opportunities to improve processes and internal controls Perform other accounting duties as assigned Qualifications Required 2-4 years of experience in accounting, bookkeeping, or a similar finance role Hands-on experience with AR, AP, collections, and payroll processing Proficiency with accounting software such as QuickBooks Experience with payroll platforms such as ADP / Paychex / Gusto / other Intermediate Excel skills (VLOOKUPs, pivot tables, reconciliations) Strong attention to detail and the ability to manage multiple deadlines Clear, professional written and verbal communication skills Ability to handle sensitive and confidential information with discretion Preferred Associate's or Bachelor's degree in Accounting, Finance, or a related field Knowledge of GAAP and basic accounting principles Multi-state payroll experience Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) What We Offer Competitive salary Health, dental, and vision insurance 401(k) with company match Paid time off and holidays Flexible or hybrid schedule
