Job Summary We are seeking a detail-oriented and highly organized Bookkeeper and Data Entry Specialist with expertise in QuickBooks and various accounting software to join our dynamic team. In this role, you will be responsible for maintaining accurate financial records, managing data entry tasks, and ensuring the integrity of our accounting systems. Your proactive approach will support our financial operations, including payroll processing, account reconciliation, and financial reporting. Responsibilities Manage day-to-day bookkeeping activities using QuickBooks Online and other accounting software such as Xero, Sage, and Quicken. Perform bank reconciliations, balance sheet reconciliations, and account analysis to ensure accuracy of financial data. Enter journal entries with precision, including debits & credits, to maintain the general ledger in compliance with GAAP (Generally Accepted Accounting Principles). Process payroll and handle accounts payable and receivable functions efficiently. Maintain detailed records of financial transactions, including invoice processing and expense tracking. Generate financial reports, including profit & loss statements and balance sheets, to support management decision-making. Conduct account reconciliation tasks regularly to ensure consistency across all financial systems and records. Utilize spreadsheets for data analysis, budgeting, and reporting purposes while ensuring data integrity through meticulous data entry practices. Assist in audits by preparing necessary documentation and supporting schedules related to public accounting or non-profit accounting standards. Support technical accounting functions such as journal entries, account analysis, and double-entry bookkeeping processes. Experience Proven experience as a bookkeeper or in a similar accounting role with a strong background in accounting systems like QuickBooks Online, Xero, Sage, or Quicken. Demonstrated proficiency in financial concepts including GAAP standards, general ledger reconciliation, bank reconciliation, accounts payable/receivable management, and payroll processing. Prior experience working with spreadsheets for budgeting, data analysis, and report writing is essential. Familiarity with public accounting practices or non-profit accounting is a plus. Strong understanding of technical accounting principles such as journal entries, account analysis, debits & credits, and double-entry bookkeeping. Excellent attention to detail with the ability to perform 10-key typing accurately under time constraints. Ability to adapt quickly to new software tools while maintaining high accuracy in data entry and recordkeeping.
