Overview The Accounting Coordinator — AP/AR & Financial Reporting is responsible for the day-to-day accounting operations, vendor payables, homeowner receivables support, and monthly financial reporting for a portfolio of community associations managed by Prime Community Management. This role owns the full accounts payable cycle, supports bank reconciliations and journal entries, and prepares accurate, board-ready financial statements each month. The ideal candidate is comfortable working across multiple association sets of books and chart-of-accounts structures in CINC Accounting and QuickBooks Online, communicates confidently with vendors, Community Association Managers, and Boards of Directors, and takes ownership of a clean, audit-ready close every month. Duties & Responsibilities Process vendor invoices in CINC Accounting, coding to the correct association, GL account, and budget line Review and route invoices for approval per each association's management agreement and authorization limits Respond to vendor inquiries regarding payment status and resolve billing discrepancies Support homeowner receivable postings (payments, adjustments, NSF/returned payment handling) in coordination with the Homeowner Accounting team Monitor cash requirements and flag any association with insufficient funds for scheduled disbursements Prepare and process AP payment batches (checks, ACH, online bill pay) for assigned associations Perform interim bank reconciliation checks and research outstanding/unposted items Prepare journal entries for accruals, reclasses, and corrections as needed Communicate with Community Association Managers on budget variances, unusual vendor charges, or upcoming large disbursements Complete full bank reconciliations for all assigned association operating and reserve accounts Prepare and post month-end journal entries (accruals, prepaids, depreciation where applicable, reserve transfers, interest allocation) Prepare monthly financial statement packages (balance sheet, income statement, budget-to-actual variance, cash disbursement summary, delinquency/AR aging summary) for Board distribution Reconcile AP subledger and AR/homeowner ledger to the general ledger for each association Review and clear aged, unreconciled, or suspense items on the balance sheet Close the books for assigned associations within the department's monthly close calendar Support quarterly reserve study funding reviews and reserve account reconciliations Assist with quarterly financial review meetings or Board presentations as requested Review vendor W-9 files and 1099 tracking for completeness Prepare year-end AP accruals and support 1099 issuance Assist with annual audit, review, or compilation requests from association CPAs (PBC schedules, reconciliations, supporting documentation) Support annual budget preparation with historical actuals and trend data Assist with onboarding new associations onto CINC Accounting, including opening balances and chart-of-accounts setup Technical Skills Solid understanding of accrual-basis accounting, journal entries, and bank reconciliation Proficiency in CINC Accounting and QuickBooks Online (or readily transferable multi-entity accounting software experience) Strong Excel skills (VLOOKUP/XLOOKUP, pivot tables, sumifs) for variance analysis and reporting Understanding of HOA/condo fund accounting basics (operating vs. reserve funds) a strong plus Comfortable managing 15-30+ sets of books/associations simultaneously Professional Competencies Highly organized with strong ownership of deadlines across a large portfolio Clear, client-ready written and verbal communication with vendors, CAMs, and Boards Comfortable pushing back diplomatically on non-compliant invoices or unusual requests Detail-oriented with a low tolerance for unreconciled or unexplained variances Works well cross-functionally with the Homeowner Accounting / estoppel function on shared accounts Key Qualifications 2-4 years of accounting experience, preferably in HOA/condo association management, property management, or multi-entity accounting Experience managing the full accounts payable cycle across multiple entities or clients Experience preparing monthly financial statements and reports for Boards, owners, or other stakeholders Proficiency with CINC Accounting, QuickBooks Online, or similar accounting software preferred Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred; equivalent hands-on experience accepted CAM license, CPA designation, or CPA-track experience is a plus, but not required Embark on a rewarding journey where your accounting expertise fuels organizational success!
