We are restructuring how our finances are run, and this is a new position. Our long-tenured finance manager is retiring. We are rebuilding the function in three parts: a full-time coordinator handling the daily and weekly work, an outside accountant handling tax, and this seat in the middle. You are the independent check that makes the whole thing trustworthy. You report directly to the owner. That is deliberate. You are reviewing work you did not do, and the reporting line is what makes the review real. What you own Monthly close. A fixed close date every month, and you hold it. The prior month gets fully entered, reconciled, reviewed, and locked so nothing gets backdated into a closed period. We have not been doing this. You are the reason we start. Reconciliation review. Our coordinator reconciles bank and credit card accounts daily. Monthly, you confirm every account actually ties out and document it. Categorization review. Weekly spot checks and a full monthly pass on how expenses are coded. Wrong categorization makes every report downstream useless, and catching it is one of the main reasons this seat exists. The balance sheet. Nobody is looking at it consistently right now. You are. Undeposited funds, loan balances that do not match the lender, items sitting in the wrong accounts, owner entries that need cleanup. Vendor payables verification. We have obligations that are not fully reflected in the books. Monthly, you reconcile what our vendors say we owe against what our system says. AR and AP aging review. Not chasing, our coordinator does that. Reviewing, and flagging which accounts are drifting. Sales tax and payroll tax verification. Confirm what was filed matches what the books say. Cost center accuracy. We are building department-level reporting. You confirm each month's activity landed in the right place, because two months of bad coding makes the reporting inaccurate quickly. Accountant coordination. Year-end package, 1099 recipient list, and keeping our outside accountant supplied with clean information so nothing is a surprise in April. What you deliver By the 8th of each month: P&L with month over month and year over year comparison, balance sheet, cash position, AR aging, AP aging. Plus a short list of anything that struck you as odd while you were closing. Not a formal analysis. Just the things you noticed. Then a 30 minute conversation with the owner to walk through what you found. What this is not You are not doing daily data entry. Our coordinator handles the day to day against a documented 59-task operating map. You are also not our tax accountant. We have one and he handles returns and filings. What we are looking for Real bookkeeping experience with small business books. Comfort in QuickBooks, Xero, Zoho Books, or similar. We run Zoho Books, and if you have not used it that is fine. Beyond software, we want someone who notices things. Someone who has walked into messy books before and knows what a problem looks like before it becomes one. Someone who will tell the owner directly when a number does not make sense, rather than assuming it was intentional. Accuracy and follow-through matter more here than speed. If you are the person who cannot let a reconciliation sit half finished, this is your kind of seat. Schedule and structure One to two days per week. Fully remote is fine, or hybrid if you would rather be on-site part of the time. We can work around your other clients. Open to W2 or 1099, whichever you prefer.
