About Us Swarm Biotactics is building biorobots — living, intelligent swarm systems. Each swarm is equipped with a custom-designed backpack enabling wireless control, sensing, and secure communication. We combine the agility of biology with AI, sensors, and swarm coordination to unlock capabilities where conventional machines fail. We're the only company in the world doing this, and we're pushing the edge of what's possible across biology, embedded hardware, and swarm intelligence. We're a lean, fast-moving startup — which means this role comes with real ownership and visibility, not just data entry. The Role We're hiring a part-time Full-Charge Bookkeeper to independently manage day-to-day financial operations for our U.S. entity. You'll own the full accounting cycle — not just reconciliations, but journal entries, month-end close, and financial statement prep — while coordinating with leadership and our outside CPA/tax firm as needed. The candidate must be authorized to work in the United States without employer sponsorship, the role is based in the United States. What You'll Do Maintain accurate, up-to-date books in Xero, including monthly bank/credit card reconciliations Post and maintain journal entries and general ledger activity Support month-end close Manage accounts payable and accounts receivable, including vendor invoicing and payment tracking Prepare monthly financial statements (P&L, balance sheet, cash flow) for leadership Review and manage employee expense reimbursements via Expensify Track and categorize company spend (vendor costs, operational spend, R&D-related expenditures) Coordinate with our outside CPA/tax firm on annual tax preparation Maintain clean documentation supporting government contracting compliance (SAM.gov, FAR-related recordkeeping) as needed Flag discrepancies, cash flow concerns, or compliance risks proactively What You Bring 3+ years of bookkeeping or accounting experience, ideally with a startup or small business Associate's or Bachelor's degree in Accounting, Finance, or related field preferred (equivalent experience welcome) Proficiency with Xero, or strong experience with a comparable cloud accounting platform Solid grasp of
