Job Description
Job Summary The Billing & Patient Accounts Receivable (AR) Specialist is responsible for managing patient and insurance receivables to ensure accurate, timely reimbursement for medical and cosmetic dermatology services. This role requires strong knowledge of dermatology billing, insurance follow-up, patient balance resolution, and clear, compassionate communication with patients regarding their financial responsibilities. Duties and Responsibilities Billing & Insurance Claims Verify patient insurance eligibility, benefits, and coverage for medical dermatology services Review and resolve claim rejections and denials in a timely manner Apply payments, adjustments, and contractual write-offs accurately Verify insurance benefits as needed to support billing accuracy Stay current on dermatology-specific CPT, ICD-10, and modifier usage Accounts Receivable Management Monitor aging reports within timely filing limits and actively work insurance and patient balances Follow up on unpaid, underpaid, or denied claims to maximize reimbursement Identify trends in denials or delays and escalate issues as appropriate Maintain AR within established practice benchmarks Maintain a list of timely filing limits for all payers Patient Accounts & Communication Explain charges, insurance determinations, and payment responsibilities clearly Respond to patient billing questions via phone, portal, or email Coordination & Compliance Collaborate with front office, clinical staff, and providers to resolve billing issues Ensure compliance with payer requirements, HIPAA, and practice policies Maintain accurate documentation in the practice management system Identify trends in denials or payer issues and recommend workflow improvements Skills and Abilities Strong verbal and written communication skills with the ability to explain services confidently and compassionately Excellent customer service skills. Demonstrates receptiveness to feedback and applies guidance to enhance performance Maintains reliable attendance and punctuality Utilizes problem-solving and decision-making skills consistent with scope of practice Adheres to ethical, legal, and professional standards, including patient confidentiality Excellent interpersonal, negotiation, and conflict resolution skills. Exhibits attention to detail and strong organizational skills Ability to multitask and maintain professionalism in a fast-paced environment Excellent time management skills with a proven ability to meet deadlines. Commits to teamwork and professional collaboration with coworkers, management, and patients. Education and Experience Requires a high school diploma or equivalent Minimum 2-4 years of medical billing and AR experience; Experience with dermatology specific billing preferred Strong knowledge of CPT, ICD-10, HCPCS, modifiers, and payer guidelines Solid understanding of insurance billing, EOBs, denials, and appeals Experience working patient balances and insurance follow-up Familiarity with cosmetic services billing and self-pay workflows Knowledge of Medicare dermatology billing rules Experience with Microsoft Office Suite required Experience with general office equipment (faxes, copies, scanners, etc.) Experience with electronic medical records (EMR/EHR) systems preferred Physical Requirements Prolonged periods of sitting at a desk and working on a computer. Ability to sit or stand for extended periods Requires sufficient manual dexterity and hand-eye coordination to operate a computer, keyboard, mouse, and other standard office equipment with accuracy and efficiency for extended periods of time. Ability to work in a fast-paced clinical environment Occasional lifting of office supplies (up to 25 lbs.)
