Position Summary We are seeking a dependable, detail-oriented Administrative Accounting Assistant to join our growing custom home building team. This position is approximately 65% accounting support and data entry and 35% customer service and administrative support . The ideal candidate is a hard-working, self-motivated individual who thrives in a fast-paced environment. They possess exceptional attention to detail, can stay focused on completing tasks efficiently, and take pride in producing accurate work. This individual will serve as an important support resource for both the Accounting Manager and Construction Team while creating a welcoming and professional experience for our customers, vendors, and business partners. Primary Responsibilities- Provide accounting and administrative support to the Accounting Manager and Construction Management Team.
- Perform high-volume, accurate data entry while maintaining exceptional attention to detail.
- Enter vendor invoices, credit card receipts, and other accounting transactions accurately and efficiently for multiple companies.
- Reconcile vendor statements by comparing invoices, payments, and account balances to identify and resolve discrepancies.
- Process accounts payable invoices accurately and ensured timely payments to vendors.
- Maintain accounting email inboxes, including incoming invoices, vendor correspondence, and customer communications.
- Answer incoming phone calls and serve as the first point of contact for customers, vendors, and subcontractors, creating a positive first impression of the company.
- Greet all guests warmly and professionally as they enter the office. Maintain accurate and up-to-date vendor insurance certificates and related documentation.
- Scan, file, organize, and maintain electronic and paper records.
- Coordinate office supplies, deliveries, and incoming packages.
- Communicate professionally and effectively with clients, vendors, subcontractors, and team members.
- Handle confidential financial and customer information with discretion and professionalism.
- Assist with office organization and light housekeeping to maintain a clean, welcoming work environment.
- Provide backup support for other administrative staff and perform additional duties as assigned. Qualifications
- Minimum 2 years of accounting, bookkeeping, administrative, or high-volume data entry experience required.
- Excellent attention to detail with a strong commitment to accuracy.
- Strong organizational, time management, and multitasking skills.
- Proficiency with Microsoft Outlook, Excel, and Word.
- Ability to maintain confidentiality and exercise good judgment.
- Excellent verbal and written communication skills.
- Friendly, professional demeanor with exceptional customer service skills.
- Construction or home building industry experience is preferred but not required.
