Job Overview We are seeking a dynamic and detail-oriented Accounting Specialist to join our finance team. In this role, the Accounting Specialist handles day-to-day accounting functions, ensuring accuracy in financial records, and supporting operational decision-making. This detail-oriented position works closely with the Director of Accounting and sales teams to keep financial processes running smoothly, accurately, and timely. Key Responsibilities Maintain accurate financial records in QuickBooks and supporting accounting systems. Request and collect vendor bills and supporting documentation; enter accounts payable transactions accurately and timely in Bill.com and QuickBooks. Prepare and issue customer invoices, including billing for transactions under the TBK Environmental umbrella. Maintain the purchase order log; create purchase orders in the accounting system and send them to vendors as needed. Categorize bank and credit card transactions, obtain missing receipts, and assist with bank and credit card reconciliations. Record customer payments and bank deposits accurately and in a timely manner. Monitor and manage the accounting email inbox, respond to routine accounting and billing inquiries, and route requests to the appropriate team member. Answer incoming phone calls and provide general office support as needed. Send vendor quote requests and enter or update quote information as requested. Complete new vendor setup and new customer setup, including collecting required documentation and maintaining complete and accurate records. Prepare, update, and review recurring accounting and operational reports, including AR and AP reports, the financial snapshot, project tracker, and COGS report. Prepare or distribute customer and vendor statements as required. Perform approved inventory adjustments, maintain SKUs in the accounting system, and support accurate inventory and cost records. Reconcile Bill.com activity to QuickBooks and research or resolve identified discrepancies. Serve as a point of contact for customer billing and account inquiries and coordinate with the sales team regarding late or overdue payments in accordance with written guidance. Review open estimates and update or close them as directed. Support budgeting, forecasting, month-end close, financial reporting, and audit requests as assigned. Help implement and maintain accounting systems, process improvements, internal controls, and compliance with company financial policies and applicable environmental requirements. Maintain organized electronic and paper files, including Certificates of Insurance, Memoranda of Understanding, Non-Disclosure Agreements, pricing agreements, and annual record closeout documentation. Associate or bachelor's degree in accounting, finance, or related field preferred 2+ years of accounting experience (experience in environmental services or small business preferred) Proficiency in QuickBooks, Xero, or similar accounting software Strong Excel skills and attention to detail Knowledge of environmental services industry billing (a plus) Excellent organizational and communication skills Ability to work independently and handle multiple priorities
Physical Requirements:
Ability to lift and move up to 20 lbs. (files, office supplies, small equipment). Prolonged periods sitting at a desk and working on a computer. Comfortable working in a warehouse environment and in various weather conditions. Occasional bending, reaching or stooping to access filing cabinets or office storage.
