Job Overview We are seeking a detail-oriented, highly organized, and motivated QuickBooks Accounting Specialist & Payroll Administrator to join our team immediately. This position is heavily focused on project-based construction accounting and requires extensive hands-on experience with QuickBooks Desktop, Accounts Receivable, Payroll, and QuickBooks Time . The ideal candidate will play a critical role in maintaining accurate financial records, supporting project managers, managing payroll and job costing processes, and ensuring the financial health of the organization. A majority of transactions require cash application accounting, making strong Accounts Receivable and cash management skills essential. This is an excellent opportunity for an experienced accounting professional who thrives in a fast-paced construction environment and enjoys working collaboratively with project managers, sales teams, and operations personnel. Primary Responsibilities Accounts Payable & Job Costing Create purchase orders daily for Sales and Project Managers. Match incoming vendor invoices to approved purchase orders. Coordinate with Project Managers to obtain approval for invoice payment. Ensure all purchase orders and invoices are accurately coded and job costed. Maintain accurate vendor and project records. Payroll Administration Maintain employee records within both QuickBooks Payroll and QuickBooks Time. Ensure project and job numbers are properly maintained within QuickBooks Time to support accurate labor costing. Process bi-weekly payroll through QuickBooks Desktop Payroll. Verify synchronization of employee time records from QuickBooks Time into QuickBooks Payroll. Ensure payroll records are accurate, complete, and compliant. Accounts Receivable & Collections Apply customer payments to invoices accurately and timely. Manage daily cash application activities. Assist in the management of Accounts Receivable aging and collections. Monitor outstanding balances and communicate with customers regarding past-due invoices. Support cash flow management and reporting. General Accounting Perform general ledger reconciliations to ensure accuracy and completeness of financial data. Analyze debits, credits, and financial transactions. Prepare monthly financial reports and supporting schedules. Ensure compliance with Generally Accepted Accounting Principles (GAAP). Assist with month-end and year-end closing procedures. Support external accountants and auditors as needed. Qualifications Minimum 5 years of accounting experience. Advanced proficiency in QuickBooks Desktop. Experience with Accounts Payable, Accounts Receivable, Payroll, and Job Costing. Strong understanding of construction or project-based accounting. Excellent organizational and analytical skills. Strong attention to detail and accuracy. Ability to manage multiple priorities in a deadline-driven environment. Excellent communication skills and ability to work effectively with Project Managers, Sales personnel, vendors, and customers. Self-motivated with the ability to work independently and as part of a team. We are looking for a hands-on accounting professional who can step into the role quickly and take ownership of the company's daily accounting, payroll, and job costing functions. The ideal candidate will be comfortable working directly with project managers, maintaining accurate financial records, supporting payroll administration, and ensuring timely processing of accounts payable and receivable transactions.
