Description We are looking for an Accounts Payable Specialist to support day-to-day payables operations for a Long-term Contract position based in Houston, Texas. This opportunity is ideal for someone who brings solid experience in invoice processing, payment coordination, and record accuracy, while working confidently with QuickBooks Online and Excel. The role requires a highly organized individual who can manage multiple tasks, maintain precise documentation, and help keep accounting workflows on schedule.
Responsibilities:
- Oversee daily accounts payable activities, ensuring vendor invoices are reviewed, entered, and tracked accurately from receipt through payment.
- Record invoice details, account coding, and payment data in a timely manner while maintaining consistency across financial records.
- Prepare and upload supporting documents into electronic systems so that payable files remain complete, accessible, and audit-ready.
- Use QuickBooks Online to carry out accounts payable tasks, update transaction information, and monitor outstanding items.
- Build and maintain Excel-based logs, trackers, and reports to support payment follow-up, reconciliation, and internal visibility.
- Verify that invoices, ACH payments, and check runs are processed correctly and within established deadlines.
- Maintain well-organized payable documentation and ensure records are kept current, accurate, and easy to retrieve.
- Coordinate multiple priorities effectively and provide additional accounting support related to accounts payable as needed. Requirements
- At least 3 years of hands-on experience in accounts payable, including invoice entry, payment processing, and record maintenance.
- Practical knowledge of QuickBooks Online for accounts payable transactions and vendor payment activities.
- Strong Excel skills with the ability to manage spreadsheets for tracking, reporting, and data review.
- Experience with account coding, coding invoices, and handling supporting documentation in digital filing environments.
- Familiarity with ACH payments and check run processing within a high-volume or deadline-driven setting.
- Excellent organizational skills with a strong focus on accuracy, follow-through, and meeting timelines.
- Ability to work reliably in a fast-paced environment and commit fully to the duration of the assignment.
