Job Description

Accounting Specialists maintain an accurate and organized financial operation. They are accountable to the Accounting Director. Accounting Specialists are responsible for
  • Performing data entry ○ Quickbooks ○ Excel ○ Google Workspace ○ Barefoot
  • Completing basic administrative and clerical tasks
  • Communicating with clients, vendors, and employees
  • Assisting with payroll
  • Drafting reports, statements, and invoices
  • Tracking expenses
  • Reconciling statements
  • Preparing reports ○ Produce, gather, and sort information, resources, and documents
  • Preparing tax documents
  • Manage accounts payable ○ Verify amounts, itemized lists, dates, etc ○ Schedule payments and disbursements ○ Obtain authorization for payments ○ Verify and track transactions
  • Manage accounts receivable ○ Compute and post charges, refunds, and adjustments ○ Prepare and send invoices ○ Verify and track transactions
  • Identify and collect on delinquent accounts
  • Resolve discrepancies, issue stop payments, and process adjustments
  • Maintain security by following internal controls
  • Backup data
  • Filing documents
  • Complete related departmental tasks
ESSENTIAL SKILLS
English and Spanish Languages—Employees are proficient in both English and Spanish, both verbally and in writing. They demonstrate correct spelling and grammar usage and use appropriate tone and terminology. Effective Communication—Employees actively listen, show empathy, provide accurate information, and maintain a positive and professional tone. They utilize appropriate terminology and communication methods. They seek support from direct supervisors or their Human Resources Representative. They often communicate with others in person, by phone, and in writing. Self-Awareness & Initiative—Employees continuously monitor and improve their performance, incorporate current feedback, and utilize downtime efficiently. Resource Management—Employees must use shared office equipment, machinery, supplies, and facilities efficiently and ensure they are kept clean and in good working order.
QUALIFICATIONS
Education—Accounting Specialists must have an associate degree or certifications in accounting or finance or an equivalent combination of relevant education and experience. Experience—Accounting Specialists must have 2+ years of meticulous mathematical, data entry, clerical, administrative, or bookkeeping experience. 1+ years of QuickBooks experience. Barefoot experience a plus. Administrative & Technical—Accounting Specialists use computers, multi-line phones, mobile devices, printers, and other standard office equipment. They use industry-specific software and websites such as VRBO, Airbnb, Barefoot, Zoom, Mineral, Paychex, Excel, QuickBooks, Zoom Meetings, and Google Workspace. Physical Demands—Accounting Specialists constantly operate computers and other office equipment in stationary positions. They regularly move about the facility and ascend/descend one flight of stairs to access areas, occasionally moving materials or equipment up to 50 pounds.
Heavy work:
Exerting more than 100 pounds of force occasionally, and over 50 pounds of force frequently, and more than 20 pounds constantly to lift, carry, push, pull, or otherwise move objects.
