Job description:
I. PRIMARY RESPONSIBILITIES
Payroll Administration:
  • Process semi-monthly payroll accurately and on schedule.
  • Maintain payroll records and employee payroll information.
  • Ensure proper processing of employee deductions, benefits, wage changes, and paid leave.
  • Assist managers with employee payroll-related questions and concerns.
  • Prepare payroll reports and supporting documentation as requested.
  • Maintain confidentiality of employee payroll information.
Benefits Administration:
  • Collaborates with HR on employee benefit enrollments, changes, and terminations.
  • Assist with annual open enrollment activities.
  • Support compliance with benefit-related reporting requirements.
Support Accounting Specialist as needed:
  • Process vendor invoices, payment requests, customer invoices, and incoming payments in a timely and accurate manner.
  • Maintain accurate records of accounts payable and accounts receivable transactions.
  • Verify supporting documentation and ensure proper coding of expenditures and receipts.
  • Prepare checks, electronic payments, deposits, and related financial documentation for review and approval.
  • Assist with monitoring outstanding balances and follow up on overdue accounts as appropriate.
  • Reconcile accounts and support month-end and year-end closing activities.
  • Maintain organized vendor, customer, resident, and financial records in accordance with organizational policies.
  • Provide administrative and accounting support to ensure efficient financial operations and accurate financial reporting.
Recordkeeping and Administrative Support:
  • Maintain organized financial and payroll files, both electronic and physical.
  • Assist with document retention and filing systems.
  • Support month-end and year-end accounting activities.
  • Prepare reports and provide documentation for audits and inspections.
  • Perform data entry and other administrative accounting tasks as needed.
Compliance and Team Support:
  • Ensure compliance with organizational policies and applicable regulations.
  • Maintain confidentiality of financial, employee, and organizational information.
  • Collaborate with management and staff to support efficient financial operations.
  • Provide backup support for other accounting functions as assigned.
II. PERSONAL AND CAREER DEVELOPMENT
  • Attend and participate in in-service meetings, workshops, seminars, etc. as directed.
  • Follow facility dress and personal hygiene policies.
Qualifications:
  • Associate degree in Accounting, Bookkeeping, Business Administration, or a related field preferred; equivalent experience may be substituted.
  • Minimum of 5 years of bookkeeping, payroll, or accounting support experience, preferably in a nonprofit environment.
  • Experience processing payroll and administering employee benefits.
  • Knowledge of basic accounting principles, accounts payable, and accounts receivable processes.
  • Proficiency with accounting software (QuickBooks) and Microsoft Office, including Excel.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Ability to maintain strict confidentiality.
  • Strong customer service and communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
