DOE SUMMARY
The Accounts Receivable-WA Credit and Collections position is primarily responsible for the posting of cash and establishing and maintaining the credit and collections of the Washington NonStop Local accounts receivable.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Post cash receipts (checks and direct ACH payments) daily to the Wide Orbit (WO) system. Batch the daily WO postings making sure that the totals agree between the WO total and the bank total. Add the log sheet, bank report and batch report to the check file. Daily Process and maintain WO Payment receivables (credit card and ACH) for Company stations. Once processed update the daily credit card/ACH log and post to WO. Check orders multiple times daily & collect CIA if needed. Monitor WO Digital HUB orders for accuracy of order entry and then complete finance approval if appropriate. Collect and post all debit and credit adjustments primarily for the Washington stations after they are properly approved by sales managers and the Station Accountants. Set up new client accounts including agencies, mark appropriate billing information and maintain client files. For all new accounts, check credit and set up credit terms for clients including Cash in Advance according to our policies. Respond to outside credit rating requests. Monitor accounts and work with sales and customers in the collection of past due accounts including sending 10-day demand letters or referring to our collection agency partner when necessary. Also, revise open credit accounts to cash in advance if necessary. Prepare annual paperwork for auditors, primarily year end accounts receivable aging detail analysis > 60 and 90 days outstanding and any confirmation letters once the auditors have made their selection for the outstanding December balances. Annually resolve and/or provide cash receipt reconciliation for any audit confirmations not returned or any returned with discrepancy comments. Relieve receptionist in a rotation with other KHQ accounting personnel primarily for daily breaks and to cover sick time if necessary. Gain ability to read linear and digital orders and identify when there are discrepancies to be adjusted such as out of balance or incorrect coding that effects billing or commissions. Maintain quarterly aging analysis to assess possible bad debit and adjustments that may need to be processed. Assist sales department with billing and payment inquiries from clients. Monthly prepare commission chargebacks for WA Local sales. Prepare monthly commission reports for Sales Marketing Consultants in tandem with Accounting Assistant. Reconcile the monthly accounts receivable aging to the general ledger and confirm the revenue agrees to the total amount billed for the month. Learn traffic log reconciliation for primarily WA stations and backup for other Montana Station log reconciliations. Backup the Accounts Receivable -Mt Credit and collections position as needed. Must be able to communicate and work well with people within the station, at the agencies and with our advertisers. Perform other duties and tasks as assigned.
EDUCATION AND EXPERIENCE
• Experienced in all functions of Accounts Receivable with working knowledge of computers including Excel, Word, Outlook, Accounting Software, etc. and other business office machines.
QUALIFICATIONS
Good organizational skills and attention to detail. Pleasant business-like attitude toward clients and coworkers. Dedication to total honesty and integrity.
TECHNICAL SKILLS
Office Tools:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or equivalent tools (e.g., Google Workspace), including email and calendar management. Wide Orbit experience is desirable.

While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds.
