THIS ROLE
The Contract Administrator supports the full lifecycle of Curtin Maritime's project contracts, from pre-construction through closeout. This role ensures contractual compliance, maintains documentation, supports risk management, and collaborates with multiple departments to keep projects aligned with legal, regulatory, and contractual requirements. The position also plays an important role in the pre-construction phase, assisting with submittals, permit coordination, and organizing all project start-up documentation
WHAT YOU'LL DO
Contract Review & Compliance:
Review, draft, and manage contracts to ensure alignment with company policies and federal, state, and local regulations. Identify contractual risks, discrepancies, or compliance issues and work with the Contracts Team, Legal, and Project Management to resolve them. Maintain and update contract templates, forms, and standardized language.
Compliance Monitoring:
Ensure all contracts comply with relevant laws, industry standards, and regulatory requirements, including oversight of the company's Small Business Subcontracting Plan compliance, reporting, and documentation per FAR 52.219-9 and other applicable federal requirement
Documentation & Recordkeeping:
Maintain digital and physical records of contracts, amendments, correspondence, and supporting documents using CRM/document management tools. Ensure proper document retention and version control in accordance with company policy and legal requirements
Tracking & Coordinator :
Monitor contract deadlines, deliverables, insurance requirements, and milestone obligations. Track project-related conditions and notify relevant teams of deadlines, renewals, or required actions. Assist with the processing and coordination of project permits.
Pre-Construction & Submittal Support:
Support the pre-construction phase by preparing, organizing, and submitting required documents (submittals, schedules, compliance forms, insurance, permits, etc.). Create job folders and distribute start-up materials for newly awarded projects. Coordinate with Dredge Team to ensure all pre-construction requirements are met prior to mobilization.
Collaboration & Communication:
Work closely with Project Managers, Contracts, Quality Control, Legal, Survey, Operations, and Procurement to ensure contract terms are understood and followed. Assist with vendor and subcontractor coordination to verify compliance with performance, documentation, and payment terms. Provide training or guidance to internal teams on contract expectations, compliance requirements, and best practices.
Bid & Proposal Support:
Review bid documents in detail and assist with assembling proposal materials. Support the proposal team by tracking potential projects, identifying requirements, and helping compile required forms and certifications.
Project & Field Support:
Assist Dredge Team with administrative project tasks, deliverables, and closeout documentation. Provide support to construction and field teams as needed to ensure compliance with contractual obligations.
Insurance & Risk Management:
Work with the Legal department to confirm insurance compliance, maintain certificates of insurance, and track updates. Help identify and mitigate contract-related risks throughout the project lifecycle
Issue Resolution & Auditing:
Assist with resolving disputes or claims related to contract terms, documentation, or performance. Participate in post-contract reviews to identify improvements for future projects. Support periodic audits of contract practices, documentation, and compliance processes.
WHO YOU ARE
Skills, Aptitudes, Qualifications and Certifications:
Familiarity with FAR/DFARs is a plus. Prior experience in contract administration is a plus. Proficient in Microsoft Word, Excel, and PowerPoint. Self-driven team player with a strong work ethic. Ability to appreciate the importance of mastering small details before tackling larger tasks. Excellent written and verbal communication skills. Strong decision-making abilities and sound independent judgment. Capable of prioritizing and managing multiple tasks in a fast-paced office environment. Adherence to all workplace policies, including health and safety regulations. Responsive to service and assistance requests. Exceptional organizational skills with a strong commitment to accuracy. Physical Aptitudes This is primarily a desk-based role, but it may require some filing tasks, including the ability to lift files, open filing cabinets, and bend or stand as needed. The role may involve lifting up to 20 pounds for files, deliveries, and other related supplies. Vision or correctable vision to 20/20 is required. The work environment may involve frequent use of stairs. The ability to work in an office setting and follow Health, Safety, and Environmental (HS&E) protocols when navigating through a maritime construction area is necessary. This role routinely involves the use of standard office equipment, including computers, office phones, smartphones, photocopiers and filing cabinets.
