This is primarily an office-based position responsible for compliance documentation, violation processing, citations, resident correspondence, recordkeeping, and administrative follow-up. The Property Compliance Coordinator will work closely with the Compliance Manager to review potential violations, maintain accurate records, prepare notices and correspondence, and ensure established property rules and community standards are applied consistently. The position also includes occasional field inspections throughout the community to observe, verify, photograph, and document potential violations. This is not a traditional security or full-time patrol position; the majority of the role focuses on administrative compliance and property management support . The ideal candidate will have previous experience in property management, residential community operations, compliance, code enforcement, administrative enforcement, or a similar environment and be comfortable communicating professionally with residents regarding rules, citations, and compliance matters. Responsibilities Support the daily administration and enforcement of established property rules, community standards, policies, and compliance procedures . Review reported or observed compliance concerns and determine appropriate administrative follow-up according to established procedures. Prepare and issue violation notices, citations, warnings, compliance letters, and other resident correspondence . Maintain accurate records of violations, communications, corrective actions, citations, and follow-up activity. Enter and update compliance information within the organization's property management and compliance database . Monitor open compliance cases and ensure appropriate follow-up is completed within established timelines. Communicate professionally with residents, guests, and other community members regarding property rules, violations, notices, and compliance requirements. Respond to compliance-related questions and clearly explain established policies and procedures. Review photographs, reports, camera footage, and other documentation related to potential violations. Monitor in-vehicle cameras and other camera systems when necessary to identify or document compliance matters. Conduct occasional property inspections and community patrols to verify reported violations, document conditions, or follow up on active compliance matters. Document field observations through photographs, written notes, reports, and other required records. Assist with the transportation, placement, and setup of mobile radar trailer units as needed. Prepare case documentation, reports, and agenda materials for Compliance Committee meetings . Assist the Compliance Manager with researching ongoing compliance matters and maintaining proper documentation. Track deadlines and ensure notices, citations, hearings, and follow-up actions are properly recorded. Maintain confidentiality and professionalism when handling resident information and sensitive compliance matters. Perform general administrative duties supporting compliance and property management operations. Assist with additional compliance, administrative, and property-related projects as needed. Requirements Approximately 2 years of experience in property management, residential community operations, compliance, code enforcement, administrative enforcement, municipal services, or a related field is strongly preferred. Strong administrative experience, including preparing letters, notices, reports, correspondence, citations, or case documentation . Ability to interpret and consistently apply established rules, policies, procedures, and property standards . Strong written communication skills with excellent attention to detail. Professional verbal communication skills with the ability to clearly explain policies and compliance requirements. Comfortable communicating with residents regarding violations, citations, notices, and corrective actions . Ability to remain professional and composed when handling sensitive or potentially challenging resident interactions. Strong organizational and time-management skills with the ability to manage multiple active compliance matters. Ability to maintain accurate documentation and consistently follow established procedures. Comfortable working primarily in an office environment while completing occasional property inspections and field assignments. Proficiency with Microsoft Word, Excel, and Outlook . Ability to learn property management software, compliance databases, camera systems, and other monitoring technology. Valid California Class C driver's license in good standing . Ability to safely operate a vehicle throughout residential areas of the community. Ability to lift and move up to 30 pounds when assisting with equipment or other field activities. Preferred Qualifications Candidates with previous experience in property management, residential property operations, community compliance, code enforcement, municipal compliance, administrative investigations, or similar policy-enforcement environments are strongly encouraged to apply. Experience preparing violation notices, citations, compliance letters, resident correspondence, case documentation, or committee materials is highly desirable. Candidates with security, military, or law enforcement experience may also be considered when they demonstrate strong administrative, documentation, report-writing, communication, and policy-enforcement skills . What Success Looks Like The successful Property Compliance Coordinator will maintain accurate and organized compliance records , prepare professional notices and citations, consistently follow established procedures, and ensure open compliance matters receive timely follow-up. This individual will take ownership of administrative compliance activities while working closely with the Compliance Manager to ensure violations are properly documented, communicated, tracked, and resolved. Success will require strong attention to detail, sound judgment, professional resident communication, consistent application of property rules, and excellent follow-through . The Property Compliance Coordinator will also be comfortable occasionally going into the community to verify or document potential violations before returning to the administrative process of preparing notices, updating records, and completing required follow-up.
