As the Operations & Compliance Administrator , you will play a key role in supporting client and business operations, compliance, and overseeing day-to-day office administration. You will partner closely with the Chief Compliance Officer, Chief Operating Officer, and internal team members to ensure operations are handled efficiently, accounts are serviced accurately, and follow-up actions are completed seamlessly. Through your commitment to excellence, you will help enhance compliance and operational efficiency, ensure the accuracy of business processes, and contribute to the firm's continued growth and long-term success.Responsibilities:
Prepare and process quarterly client billing and maintain billing records Assist with reconciling company expenses and accounts using QuickBooks Manage day-to-day office operations, including ordering supplies, coordinating vendor relationships, and support planning of firm meetings and events Maintain organized records, including CRM updates, client documentation, and internal operational and compliance files Assist with employee onboarding, training acknowledgements, and HR administration. Compile documentation for periodic compliance testing and reviews Assist with tasks relating to compliance reviews and testing, including document maintenance and organization Distribute and track periodic compliance certifications and acknowledgements Maintain the Compliance Calendar and track annual compliance requirements Effectively manage multiple priorities and adapt to changing business needs in a fast-paced environment Contribute to special projects, operational enhancements, and firm-wide initiatives to support business growth and continuous improvementQualifications:
3+ years of operations, administrative, or related experience Financial services, wealth management, or RIA experience preferred Proficiency with Microsoft Office Suite; experience with QuickBooks, BillFin, and Raymond James platform is a plus Exceptional attention to detail and follow-through, with a proven ability to manage tasks to completion and ensure nothing falls through the cracks Comfortable operating in a dynamic environment, adapting to evolving priorities and navigating ambiguity with confidence and initiative Strong verbal and written communication skills, with the ability to interact professionally and effectively with clients, advisors, and team members Collaborative, team-oriented mindset with a willingness to take ownership, contribute where needed, and support the success of the broader organization Ability to handle confidential information with discretionSalary & Benefits:
