Compliance Coordinator About Paul Davis Paul Davis is a leading property restoration company helping homeowners and businesses recover following fires, floods, and other disasters. We reconstruct and restore damaged homes and businesses to provide comfort and peace of mind to our communities during their times of need. Position Overview We are seeking a motivated, highly organized, and detail-oriented Compliance Coordinator to join our team. This is a fast-paced and important role combining compliance, estimating team support, customer communication and overall administration. The primary responsibility of this role is maintaining strong, compliant relationships with our Third-Party Administrators (TPAs), Insurance Carriers, and other lead sources. You will help ensure files are complete, deadlines are respected, adjuster requests are answered, and no important details are missed. Missing documents or delayed follow-ups can directly affect our performance scores and standing with our insurance partners, making this role vital to protecting and growing our pipeline of work. What does a Compliance Coordinator with Paul Davis do?
TPA & Carrier Relationship Management:
Act as the primary point of contact for compliance requirements from TPAs, insurance carriers, and other lead sources. Maintain strict adherence to individual carrier service level agreements (SLAs) to preserve high performance scores.
File Compliance & Quality Control:
Review restoration files to ensure all required notes, photographs, reports, estimates, authorizations, and supporting documents are complete and uploaded. Conduct quality-control reviews before files, reports, and estimates are submitted.
Service Standard Monitoring:
Monitor insurance company requirements, deadlines, service standards, and strict file compliance guidelines.
Adjuster & Partner Relations:
Review and respond to adjuster notes in collaboration with the appropriate estimator / team member. Communicate delays, client concerns, and file-related issues to the necessary team members.
Proactive Follow-Ups:
Identify missing information and follow up with technicians, estimators, clients, and insurance representatives. Maintain detailed follow-up lists and escalate urgent or outstanding matters.
Administrative & Team Support:
Help ensure estimators and other team members have the information needed to complete their daily work. Answer incoming calls as needed, schedule appointments, and monitor communication portals with carriers.
Problem Solving:
Take initiative to identify potential communication or documentation problems before they affect the client, project, or company
Skills Desired of Team Member:
High school diploma or equivalent (Bachelor's degree or college coursework preferred). 1-3 years of experience in insurance restoration compliance, TPA program management (e.g., Alacrity, Contractor Connection, Crawford), or insurance claims. Deep understanding of insurance carrier guidelines, service level agreements (SLAs), and key performance indicators (KPIs). Exceptional organizational skills and attention to detail. Strong written and verbal communication skills for collaborating with adjusters, clients, and internal teams. Ability to thrive and multi-task in a fast-paced environment with strict deadlines. Proficiency with computer systems and industry-specific software (experience with Xactimate, Symbility, or Restoration Manager is a plus). A proactive, problem-solving mindset with the ability to take initiative.
