Credit & Administrative Services Coordinator

Job Description

Summary The Credit & Administrative Services Coordinator provides administrative support across the company's credit, accounts receivable, payroll, human resources, and office administration functions. This position is responsible for customer credit administration, cash application, payroll coordination, employee onboarding, HR record maintenance, and general office operations. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities while maintaining confidentiality and professionalism. Essential Duties & Responsibilities
  • Create and maintain customer account records in the company's ERP system, ensuring the accuracy and completeness of customer master data.
  • Obtain, review, and analyze customer credit applications, credit reports, and trade references.
  • Maintain customer credit files and account records.
  • Monitor customer credit exposure relative to open orders and approve orders for production in accordance with established credit policies.
  • Process, reconcile, and accurately apply customer payments and remittance information.
  • Assist with collection efforts and follow-up on past-due accounts.
  • Monitor customer payment trends and aging activity.
  • Respond to customer and supplier credit reference requests.
  • Coordinate payroll processing and maintain payroll records while ensuring accuracy and confidentiality.
  • Coordinate employee onboarding activities including I-9 verification, and personnel file maintenance.
  • Administer seasonal employee activations, deactivations, and employment status changes.
  • Support ACA, unemployment, OSHA, and other compliance reporting requirements.
  • Assist with coordination of company events and employee engagement programs.
  • Manage office supply purchasing and office equipment service requests.
  • Support ACH approval workflows and administrative projects.
  • Contribute to the overall team effort by fostering cooperation within and between departments.
  • Other duties as assigned. Skills & Qualifications Technical Skills
  • Proficiency in the Microsoft Suite of programs including: Excel, Outlook, and Teams.
  • Experience working with ERP, accounting, HRIS, and payroll systems preferred.
  • Strong attention to detail and accuracy when working with financial and employee records. Communication Skills
  • Strong oral, written, and interpersonal communication skills.
  • Ability to communicate professionally with customers, employees, vendors, and management. Performance Skills
  • Exceptional organizational skills and ability to manage multiple priorities.
  • High level of confidentiality, integrity, and professionalism.
  • Strong problem-solving abilities and initiative.
  • Ability to work independently and as part of a team.
  • Adaptability and willingness to learn new responsibilities through cross-training. Basic Qualifications
  • Associate degree in Accounting, Business Administration, Human Resources, Finance, or related field preferred; equivalent experience considered.
  • Three or more years of experience in accounting support, payroll, HR administration, credit, accounts receivable, or a related role preferred.
  • Experience with payroll processing, accounts receivable, or credit administration preferred.
