Job Description:
Finance Coordinator Position Purpose:
Under general supervision, the Finance Coordinator performs moderately complex technical accounting and fiscal tasks to maintain systematic financial records for school system transactions. This role involves the application of accounting principles, adherence to fiscal regulations, and proficiency with financial software and reporting tools. Responsibilities include maintaining accurate financial records for the fund, processing receipts and deposits, preparing financial reports, and supporting compliance with federal, state, and local regulations.
Essential Duties and Responsibilities:
Maintain confidentiality of all financial data and records. Receive, classify, and record funds to ensure accurate financial recording. Prepare and make daily bank deposits. Serve as the coordinator for annual internal audits, ensuring all requested financial data is prepared and accessible. Collect and review financial monitoring reports required by the Individuals with Disabilities Education Act (IDEA), including: Semi-annual time and effort certifications. Monthly Personnel Activity Reports (PARs). Prepare and submit annual sales tax refund documentation to the State of North Carolina. File monthly sales tax payments with the Department of Revenue. Verify charter school student residency and calculate/process charter school payments. Prepare and track external financial billings, including: Capital reimbursements from Orange County Government. School Resource Officer costs. Fair funding distributions. School nursing expenses. Teacher-on-loan invoices. Manage district bank signature cards, ensuring security and updates as needed. Prepare quarterly financial reports for the Board of Education, including the financial status of district enterprise funds. Submit semi-annual reports to the Local Government Commission (LGC). Reconcile monthly bank statements for the Child Nutrition Services Department and prepare necessary adjustments. Monitor and address outstanding checks and deposits. Perform other duties as assigned by the Assistant Finance Director.
Minimum Requirements:
Knowledge, Skills, and Abilities:
Comprehensive understanding of purchasing, fixed asset management, and accounting principles. Strong knowledge of bookkeeping techniques and governmental accounting practices. Familiarity with state, local, and school fiscal regulations and policies. Proficiency in Microsoft Excel, spreadsheet creation, and other Office applications. Ability to perform technical tasks, manage multiple responsibilities, and adapt to changing job requirements. Strong organizational and communication skills to support district departments and schools.
Education and Experience:
High school diploma with a concentration in business practices, accounting, or mathematics. At least 2 years of accounts payable or accounting experience in a school or government setting. Advanced experience with Microsoft Excel and financial reporting software. Equivalent combinations of training and experience may be considered.
Certifications:
Valid North Carolina driver's license.
Preferred Qualifications:
Associate's Degree or higher in Accounting, Business, or a related field.
