About the Role We are looking for an experienced veterinary professional to join our team as a Financial Coordinator . This role is ideal for someone who understands veterinary medicine, enjoys working closely with doctors and hospital teams, and is passionate about helping clients navigate the financial side of patient care with clarity and compassion. The Financial Coordinator plays an important role in supporting accurate treatment plans, reviewing invoices, guiding clients through financial options, and helping our team maintain consistency and integrity in hospital charging. This position helps ensure that patients receive excellent care while clients receive clear, respectful, and transparent financial communication. This position will also provide front desk and Referral Coordinator support as needed . The Financial Coordinator should be comfortable stepping in to assist with client communication, phones, scheduling, records, email, fax, and general administrative support during high-volume periods or when hospital needs require it. Our ideal candidate is detail-oriented, organized, compassionate, and comfortable working in a fast-paced specialty and emergency environment. You should enjoy problem-solving, communicating with clients and team members, and supporting doctors and staff in creating accurate and thoughtful treatment plans. What You'll Do As our Financial Coordinator, you will: Review hospitalized and outpatient invoices to help ensure charges are accurate, complete, and appropriately entered. Work closely with doctors to build accurate and comprehensive treatment plans. Help structure treatment plans in complex cases or situations where clients may have financial limitations. Ensure treatments performed are properly reflected in the medical record and invoice. Identify charging discrepancies and provide timely, supportive feedback to team members. Serve as a resource for doctors and staff regarding charging procedures, treatment plans, and financial workflows. Support team members in proper use of EzyVet , VetRadar , and treatment sheets. Help ensure canned treatment plans are accurate, current, complete, and free of unnecessary or redundant items. Discuss treatment plan costs clearly and compassionately with clients. Explain payment options such as credit/debit card, cash, Cherry, All Pet Card, Scratchpay, and CareCredit. Help clients understand financial terms such as APR, deferred interest, and promotional financing. Guide clients through financing applications when needed. Maintain professionalism, empathy, and composure when discussing financial concerns or limitations. Communicate trends or recurring discrepancies to leadership and assist in developing solutions. Support hospital financial workflows while helping maintain accountability across departments. Front Desk & Client Service Support As part of this role, you will also be expected to assist the front desk team as needed.
This may include:
Greeting and assisting clients in person. Speaking with clients by phone and helping answer questions in a timely and professional manner. Helping schedule appointments and supporting doctor schedule management. Communicating with the referring community by phone, email, or fax. Requesting and sending medical records as needed. Managing phones, email, and fax during high-volume periods. Supporting general administrative tasks and daily office workflows. Assisting with prescription refill requests as approved by a doctor. Helping maintain a clean, organized, and well-stocked hospital environment. Supporting hospital team members outside of the front desk when needed. Remaining flexible and willing to assist with weekend, holiday, or overtime coverage if required by hospital needs. What We're Looking For We are looking for someone who is: Experienced in the veterinary field. Comfortable with veterinary treatment planning and hospital charging systems. Proficient with veterinary software, especially EzyVet and VetRadar . Highly detail-oriented and able to identify inconsistencies or omissions. Financially literate and comfortable explaining payment options and financing terms. Compassionate and professional when communicating with clients. Comfortable providing front desk, phone, scheduling, and administrative support as needed. Able to communicate effectively with doctors, leadership, support staff, clients, referring hospitals, and the public. Calm and effective in a fast-paced, high-stress specialty and emergency environment. Able to handle difficult, emotionally distressed, or confrontational clients with professionalism. Organized, efficient, and able to manage competing priorities. A strong problem-solver with excellent communication skills. A team player who enjoys teaching, supporting, and helping others succeed. Preferred Experience Experience in the veterinary field is required. Experience with veterinary billing, treatment planning, estimates, or hospital financial systems is strongly preferred. Experience with front desk, referral coordination, scheduling, phones, or client service in a veterinary setting is strongly preferred. Experience in specialty or emergency veterinary medicine is preferred. Experience communicating with clients about estimates, deposits, payment options, or financial limitations is strongly preferred. Why Sunstone?
