The Operations Manager, Accounting & Finance (A&F), will provide direct support by managing projects and the day-to-day operations of the department. You're an energetic, passionate self-starter who thrives under pressure and balances strategic oversight with hands-on work. You're a problem solver, a strong communicator, and a trusted partner who values accountability and confidentiality.
What You'll Do:
Accounting & Finance Operations (50%+) Oversee implementation of Accounting & Finance initiatives, ensuring alignment with organizational goals and partner needs. Serve as the point person for Accounting & Finance's mail processing and related administrative logistics. Document financial controls and ensure proper record-keeping across systems. Collaborate with internal teams to design and execute projects that deliver measurable outcomes. Monitor program performance using data-driven approaches, generating actionable insights for improvement. Act as liaison between internal teams, partners, and vendors to ensure seamless communication and alignment. Assist in budget management, forecasting, and resource allocation to optimize outcomes. Conduct regular audits of projects and platforms to ensure compliance, progress, and adherence to procedures.
Provide administrative support as needed:
scheduling meetings, preparing agendas, taking notes, and following up on action items. Business Processes & Compliance Oversee implementation of file, knowledge, and project management processes to enhance productivity. Serve as primary liaison between the department and the Business Process group, ensuring compliance with organizational standards. Monitor and enforce adherence to established business processes, identifying gaps and implementing corrective measures. Train department staff on proper use of tools and processes, while rolling out new systems as needed. Provide recommendations to the Business Process group on best practices and process improvements. Process Improvement & Change Management Analyze workflows, identify bottlenecks, and propose continuous improvement solutions. Partner with the Business Process group to optimize operations across departments. Support adoption of new processes through clear communication, training, and problem-solving. Egnyte Folder & Knowledge Management Serve as folder owner for Accounting & Finance folders, ensuring oversight of naming conventions, file locations, and access controls. Ensure department members maintain documentation standards and follow organizational knowledge management practices. Other Responsibilities Support cross-departmental projects as a "swing player," providing operational expertise and administrative support where needed. Handle sensitive information with discretion and professionalism. Other projects or duties as assigned. What You'll Bring Bachelor's degree in Accounting, Finance, Legal Studies, Business Administration, or related field. 3+ years of coordination or administrative experience, preferably in accounting firms, agencies, or legal/paralegal environments. Proven experience in operations, project management, or organizational improvement, delivering measurable results. Strong writing skills, with the ability to document controls, draft clear communications, and prepare reports. Quick technology adopter; comfortable in Mac environments, G-Suite, Slack, Guru cards, project management tools, and file systems (e.g., Egnyte). Ability to manage multiple complex workflows simultaneously with excellent prioritization and time management. Superior discretion, confidentiality, and accountability in all professional interactions. Excellent communication skills with an approachable, professional demeanor. Strong interpersonal skills, able to work both independently and collaboratively. Ability to pivot quickly with changing priorities while remaining fast and flexible. Willingness to travel occasionally as needed.
Physical Requirements/Work Environment:
Ability to lift and carry up to 50 pounds repetitively. Prolonged periods of sitting or standing and working on a computer for 8+ hours/day.
