This position oversees Accounts Receivable and Accounts Payable functions, ensures accurate financial reporting and reconciliation procedures, manages system integration between Buildertrend and QuickBooks Enterprise, and maintains compliance with Florida Construction Lien Law and GAAP standards.
Essential functions:
- Supervise and mentor AR and AP Coordinators, ensuring SOP adherence and KPI achievement.
- Oversee invoicing and collections for construction draws (bank funded and cash pay), change orders, design session upgrades, and allowance reconciliations.
- Ensure timely collection, interest application, and escalation of overdue accounts.
- Review vendor invoices, PO matching, and proper GL coding procedures.
- Review bi-weekly payment runs and AP aging reports.
- Ensure lien waivers and compliance documentation are collected and stored prior to payment release.
- Manage Buildertrend and QuickBooks Enterprise synchronization and reconcile discrepancies weekly.
- Ensure compliance with Florida lien laws including NTO filings, lien waivers, and claims of lien.
- Review and approve escalation paths for late payments or unresolved AP issues.
- Assist in preparing monthly financial summaries and reporting for leadership.
- Lead weekly accounting team meetings and coordinate cross-functional updates.
- Support external audits and maintain audit-ready documentation.
- Perform additional duties and responsibilities as assigned. Required Skills/Abilities
- Bachelor's degree in accounting, finance, or related field
- 5+ years in accounting, with at least 2 years in a leadership or supervisory role
- Strong leadership, communication, organizational, and problem-solving skills.
- Effectively communicate across departments and with external partners.
- High attention to detail and ability to manage multiple deadlines.
- Advanced knowledge of QuickBooks Online or Enterprise and Buildertrend.
- Proficiency in Microsoft Excel, Word, and Teams.
- Understanding of construction accounting, job costing, and Florida lien laws.
- Ability to manage multiple deadlines with strong attention to detail.
- Knowledge of GAAP and regulatory compliance standards. Preferred Skills/Abilities/Experience
- Preferred CPA or equivalent certification.
- Residential construction or subcontractor financial management experience strongly preferred.
