Job Summary The Finance Manager is responsible for overseeing the Agency's day-to-day financial operations and ensuring the accuracy, integrity, and timely reporting of financial information. The position provides management-level oversight of grant accounting and compliance, cash management and liquidity, month-end and year-end close, financial reporting and analysis, budgeting, internal controls, and accounting operations. The Finance Manager reviews and analyzes financial activity, ensures compliance with GAAP and applicable funding requirements, and serves as a key financial resource to the CFO and executive leadership in supporting sound financial decision-making and the Agency's overall financial sustainability. It must also assist the CFO and CEO/President in various administrative tasks for the agency. Essential Duties and Responsibilities Receivables
  • Reconcile donor base platform to bank and P&L distribution for board reporting.
  • Assist the Development department in maintaining an accurate donor database.
  • Assist with collection activities on Manage Care Billing for CCE clients, private account invoices, and aged receivables in general.
  • Run aged receivable statements and release AR collection updates monthly.
  • Manage the standard operating procedures monthly for accounts receivable.
  • Prepare, release, and manage/monitor annual renewal contracts for subcontractors.
  • Prepare, release, and manage/monitor annual contracts to our kitchen clients. Grant
  • Prepare monthly, quarterly, and yearly reporting of local grants for billing.
  • Prepare monthly, quarterly, and yearly reporting of federal & state grants for billing.
  • Establish financial structures for new grants and contracts. Track, report, and assist with monitoring of all grants.
  • Search and apply for grants to support all agency programs.
  • Prepare federal and state grant supporting budgets semi-annually.
  • Track and report on program income.
  • Prepare, track, and manage internal productivity reports per department / per task.
  • Review, track, and manage utilization reports per department / per grant.
  • Manage asset acquisition through grant dollars.
  • Assist in monitoring operational units of service for billing on grants.
  • Prepare budget-to-actual reports. Cash Management/Treasury
  • Monitor restricted and unrestricted cash.
  • Monitor cash-handling procedures.
  • Monitor lines of credit, loans, and other financing arrangements.
  • Monitor investment trends monthly, reconcile, and record to the Balance Sheet.
  • Prepare 13-week cash-flow projections for management.
  • Monitor investment balances and reconcile investment activity. Fixed Assets/Inventory/Tax
  • Track and audit the acquisition of assets through grant dollars.
  • Assist in Physical Inventory of equipment, supplies, and software active assets on the books.
  • Assist in Schedule O and 990 tax preparation.
  • Year End Audit and reporting on assets for tax purposes End of Month
  • Closing Cycle
  • Manage and coordinate the monthly financial close process.
  • Develop, document, and maintain financial policies and procedures.
  • Prepare and record complex journal entries and maintain supporting documentation for all transactions.
  • Perform monthly reconciliation of subsidiary ledger accounts
  • Assist in the preparation of monthly journal entries for month end closing.
  • Perform monthly departmental P&L review to highlight trends, downfalls, and red flags.
  • Assist in the evaluation of financial sustainability per programs.
  • Prepare month end financial reports and perform other duties/projects assigned by the CFO.
  • Provide oversight and back-up assistance to accounting staff as needed
  • Prepare necessary reports for year-end audit and 990
  • assisting auditors as requested.
  • Help prepare financial reports for the Executive and Board of Director meetings.
  • Assist in updated all SOPs for the Finance and Accounting department.
  • You could be requested to work onsite during agency events to support the finance team with cash handling and payment processing.

Duties:
  • Refers to the most recent grant application, if applicable. Education
  • B.S. Degree in Accounting, Finance, or related field. Experience
  • 7-10 years' experience with nonprofit accounting.
  • 7-10 years of General Ledger and Journal Entries experience.
  • Knowledge of general office functions.
  • Experience
  • Strong understanding of General Accepted Accounting (GAAP) principles
  • Strong federal grants and single audit experience.
  • Must have intermediate-advanced level excel skills.
  • Excellent analytical skills and ability to resolve complex problems.
  • Knowledge of MS office products, Internet research options and volunteer databases and other basic office equipment.
  • Experience with the retired and senior population preferred. Skills/Competency Requirements
  • Must be highly organized, self-motivated, and have excellent interpersonal skills.
  • Must have the strong ability to manage time, prioritize tasks, and meet deadlines.
  • Must be able to communicate clearly and concisely, both orally and in writing.
  • Must be able to manage and maintain confidential and protected client information.
  • Must maintain accuracy when recording transactions and preparing reports.
  • Must have the capacity to review and analyze financial data to detect discrepancies and/or inconsistencies.
  • Must have knowledge of accounting principles (CAAP/IFRS), advanced excel skills, and experience with accounting software (MIPs, NetSuite, etc.)
  • Must be open to cross train with certain Accountant and Lead Accountant tasks. Risk Exposure
