This position serves as the company's primary accounting resource and is responsible for maintaining accurate financial records, developing and improving accounting procedures and internal controls, and providing timely financial information to management. The Accounting Manager works independently, exercises sound judgment, and collaborates effectively with management, employees, real estate agents, vendors, outside accountants, payroll providers, and other business partners. Essential Duties and Responsibilities Accounting Operations
- Manage the daily accounting activities associated with listings, escrows, closings, commission disbursements, and other brokerage transactions in accordance with established company procedures.
- Record and verify business transactions, including receipts, disbursements, deposits, refunds, charges, commissions, and other financial activity in the company's accounting systems.
- Manage accounts payable and accounts receivable, including invoice review, coding, approval workflow, payment processing, collection follow-up, and vendor inquiries.
- Prepare and process agent commission payments, agent account statements, closing-related accounting transactions, and supporting accounting records; verify accuracy prior to payment or release.
- Maintain vendor records, process required year-end vendor reporting, including Forms 1099, and coordinate with external tax or accounting professionals as needed.
- Maintain organized electronic accounting records and supporting documentation in accordance with company record-retention procedures. Financial Reporting and Close
- Lead the month-end and year-end closing processes, including journal entries, accruals, account reconciliations, and review of financial activity for completeness and accuracy.
- Reconcile bank accounts, general ledger accounts, commission-related accounts, and other balance sheet accounts on a timely basis.
- Prepare recurring financial reports for management, including balance sheets, income statements, cash flow projections, and other management reports as requested.
- Investigate and resolve accounting discrepancies, unusual transactions, reconciliation differences, and reporting issues.
- Maintain and update general ledger coding and the chart of accounts as business needs evolve.
- Support budgeting, forecasting, cash flow planning, and financial analysis for management decision-making.
- Coordinate year-end financial information and schedules with the company's outside CPA, tax preparer, or other professional advisors. Controls, Procedures, and Process Improvement
- Develop, document, implement, and maintain accounting policies, procedures, workflows, and internal controls designed to safeguard company assets and support accurate financial reporting.
- Monitor compliance with established accounting procedures and recommend improvements when processes, systems, or business requirements change.
- Evaluate accounting workflows for efficiency, accuracy, and scalability, and implement practical improvements in coordination with management.
- Create clear step-by-step accounting procedures, reference materials, and training resources for employees and office management teams.
- Provide recommendations to management regarding accounting systems, financial processes, controls, and operational efficiencies. Payroll and Administrative Accounting Support
- Serve as the primary accounting liaison with the company's payroll and/or HR service provider.
- Provide payroll-related information, review payroll reports for reasonableness and accuracy, coordinate corrections, and maintain appropriate supporting records.
- Assist employees, agents, vendors, and management with accounting-related questions, procedures, account information, and problem resolution.
- Maintain furniture, fixtures, and equipment inventory records and review related warranty or leasing agreements as assigned.
- Perform other accounting and finance-related duties reasonably assigned based on business needs. Leadership and Collaboration
- Act as the company's primary day-to-day accounting resource and provide clear, responsive guidance on accounting processes and procedures.
- Partner with the Vice President of Operations and managing partners to identify issues, evaluate options, and implement solutions that support the company's financial and operational objectives.
- Provide accounting process guidance and training to office management teams, employees, and agents as appropriate.
- Communicate financial information professionally and clearly to individuals with varying levels of accounting knowledge.
- Demonstrate initiative, accountability, discretion, adaptability, and sound judgment while working with limited supervision.
- Provide professional and courteous service in all interactions and contribute positively to a collaborative, solution-oriented workplace. Qualifications Education and Experience
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred; an equivalent combination of education and directly relevant accounting experience will be considered.
- Four or more years of progressive accounting experience preferred, including responsibility for general ledger accounting, account reconciliations, financial reporting, and month-end close.
- Real estate brokerage, property, escrow, commission accounting, or other real estate industry accounting experience strongly preferred.
- Prior experience working independently as a senior accountant, accounting manager, or primary accounting resource preferred.
- Supervisory or people-management experience preferred but not required unless the role is assigned direct reports.
- CPA license is not required. Knowledge, Skills, and Abilities
- Strong working knowledge of accounting principles, general ledger accounting, accounts payable, accounts receivable, reconciliations, financial statements, and month-end/year-end close.
- Advanced proficiency in Microsoft Excel, including formulas, lookups, pivot tables, data analysis, and reconciliation tools.
- Proficiency with Microsoft 365 applications, including Outlook and Word, and the ability to learn and effectively use accounting, transaction management, commission, and document-management systems.
- Strong analytical and problem-solving skills with the ability to identify discrepancies, assess alternatives, and recommend practical solutions.
- High level of accuracy, attention to detail, organization, and follow-through.
- Ability to manage multiple deadlines and priorities in a fast-paced, changing environment while maintaining accuracy and professionalism.
- Ability to develop clear written procedures, reports, business correspondence, and training materials.
- Strong interpersonal and communication skills with the ability to work effectively with management, employees, agents, vendors, customers, and outside professionals.
- Ability to handle confidential financial and personnel information with appropriate discretion.
Mathematical and Analytical Skills Ability to calculate and analyze commissions, percentages, interest, allocations, prorations, discounts, and other financial amounts. Ability to review complex commission calculations and explain the methodology clearly to others. Ability to interpret financial results, identify trends or discrepancies, and support management with relevant analysis. Technology Skills Requires strong computer proficiency and advanced Excel skills. Must be comfortable working in networked and cloud-based business systems and able to learn new accounting, transaction management, commission, document management, and collaboration software. The Accounting Manager is expected to troubleshoot routine user or workflow issues within the systems used for the accounting function; specialized IT support, network administration, and equipment repair are not core responsibilities of this position.
