Job Description
Our locally owned Label Printing Business based in Kansas City in search of an
EXPERIENCED
Warehouse Office Manager/Accounting Role to join our team in a Full Time, Permanent, Direct Hire Role.MUST HAVE SOLID UPS
Shipping experience, Invoicing, Order Processing, Quick Books and be able to lift 40 to 50 boxes that weigh 20 lbs eachTO BE CONSIDERED!
Pay:
$25 to $26 an hour (Depending on experience. Possible more if qualified.)Schedule:
Monday through Friday 7:00am to 3:00pmKey Position Responsibilities:
Customer Service and Support- Answering telephone calls and emails from customers and clients and providing direct support
- Answering of phones and welcoming of guests to our facility
- Developing and submitting reports to key clients on a weekly basis. Sales Order Establishment
- Entry of new sales orders in Quickbooks.
- Providing confirmation of receipt of Purchase Orders from key clients.
- Coordinating projected job completion dates. Invoicing and Packing Slip Generation
- Daily process of closing out sales order in Quickbooks and generating the resulting packing slips and invoices.
- Emailing invoices to clients. Shipping Coordination
- Setting up the daily shipment of boxes in advance of their afternoon arrival
- Scheduling pickups of boxes through a local courier service
- Setting up occasional shipment of pallets of boxes through various LTL carriers.
- Evaluating carrier performance and resolving issues with orders and logistics.
- Evaluating and negotiating the price of shipment with carriers. Accounts Receivable and Payable
- Contacting clients regarding outstanding balances via phone and email.
- Creating account statements to send to clients with open balances.
- Ensuring there is awareness of open account balances prior to entering new sales orders for those clients with overdue invoices.
- Entry of AP Invoices into Quickbooks Other
- Filing of various items including: Completed job jackets, vendor invoices, vendor purchase orders, shipping reports.
- Ordering of supplies for the office.
Skills and Qualifications:
- Strong written and verbal communication skills to produce reports, accept instructions and handle customer requests, among other tasks.
- Organization and the ability to multitask to complete a wide variety of tasks.
- Attention to detail to ensure tasks are completed thoroughly and correctly.
- Flexibility to help them adjust to new tasks should company or office needs change.
- Strong interpersonal skills to interact positively with customers and employees.
Education and Experience Requirements:
- High school diploma, GED, or equivalent required
- College degree is preferred
- Minimum of 3 years' experience in a similar Office Manager position
- Proficient with office software programs including: Microsoft Office (Excel, Word, Outlook) and Quickbooks.
