We're seeking a versatile, organized, professional with real estate and accounting experience to take responsibility for the critical day-to-day functions which make our business successful. Job Overview We're looking for a highly versatile office manager who can adeptly handle executive administration, general bookkeeping, and vendor management. There will be a brief initial training period, but you must be an aggressive self-starter who can get things done without being micro-managed. In this role, you will be the organizational backbone connecting our various business entities. You will wear multiple hats-balancing day-to-day bookkeeping across different business accounts, maintaining meticulous digital filing structures, assisting the property manager with vendor coordination & payment and occasionally serving as the executive assistant to a retired physician and business owner.

Key Responsibilities Multi-Entity Bookkeeping:

Manage separate financial workflows using QuickBooks (both Desktop and Online) for several entities. Handle accounts payable/receivable, expense-tracking and invoice generation for the maintenance company, payroll for the small team and basic reconciliation for our property portfolios.

Property Management Coordination:

Serve as a point of contact for our property manager and vendors, collecting insurance and tax information, track job payments for property maintenance and repairs and oversee the vacation property managers in out-of-town locations.

Executive Assistant:

You must be ready and willing to perform occasional executive assistant/admin tasks for a retired physician (pick up the drycleaning or make travel arrangements, etc.).

Meticulous Record Keeping:

Build and maintain an extremely well-organized digital filing system to keep corporate documents, financial records, tenant leases, and business files separated and easily accessible. Help us eliminate all unnecessary paper records.

Bilingual Communication:

Utilize fluent English and Spanish to coordinate with tenants, contractors, remodeling vendors, and diverse business partners.

Minimum Qualifications & Skills Education:

Minimum high school diploma or equivalent required.

Language:

Functionally bilingual in English and Spanish (written and verbal) is required.

Accounting Software:

Proven, hands-on experience navigating QuickBooks Online & QuickBooks Desktop is required.

Organizational Mastery:

Exceptional skills in filing, categorization, and digital data management.

Mindset:

A proven self-starter who is comfortable changing gears between different industries (e.g., medical, real estate, construction) throughout the day.

Tech Literacy:

Strong core computer skills, including spreadsheet management, digital calendars, and cloud drives. Must be competent with Google Docs and MS Office.

Real Estate Experience:

A functional understanding of the real estate business is a plus.

Character:

The successful applicant has very high personal standards for honesty, integrity and professionalism. Background and credit checks will be required due to the sensitive nature of the position.

Strong References:

Applicants should submit three relevant professional or academic references. Preferred Qualifications Prior Executive Assistant, Property Management, or Office Management experience. An active Florida Real Estate Sales Associate License or real estate office experience. Experience with AppFolio, Yardi, MRI, or TenantCloud a big plus Experience coordinating maintenance crews, contractors, or trade vendors.
