As our company continues to grow, we're looking for an Operations & Accounting Manager who thrives in a fast-paced environment working closely with our small team and enjoys bringing order, efficiency, and accountability to every aspect of the business. Position Summary The Operations & Accounting Manager serves as the operational backbone of Truebuilt Co., overseeing financial administration, construction accounting, project administration, office operations, vendor management, and executive support. This role works closely with the project management team to ensure projects remain financially healthy, vendors are paid accurately, customers are billed on time, and internal systems operate efficiently. The ideal candidate enjoys creating processes, solving problems, managing details, and helping a growing company scale. ResponsibilitiesAccounting & Financial Management Manage daily accounting functions using QuickBooks Online. Prepare customer invoices and monitor accounts receivable. Process subcontractor and vendor invoices. Coordinate accounts payable and payment scheduling. Reconcile bank and credit card accounts. Prepare monthly financial reports and cash flow summaries. Assist with budgeting and forecasting. Coordinate with CPA for monthly and year-end reporting. Maintain job cost reporting and profitability tracking. Review project costs against budgets. Assist with payroll processing and employee reimbursements. Maintain financial records and documentation. Construction Administration Manage project setup from contract execution through closeout. Create and maintain project files within Buildertrend. Prepare subcontract agreements and purchase orders. Track certificates of insurance, W-9s, and subcontractor compliance. Process change orders and owner billings. Monitor lien waivers and project closeout documentation. Coordinate permits, inspections, and project documentation. Track project schedules and milestone deadlines. Assist project managers with administrative support. Operations Management Develop and improve internal operating procedures. Create workflows that improve efficiency and consistency. Maintain company software including Buildertrend, QuickBooks, Microsoft, and other business platforms. Coordinate office operations and administrative functions. Assist with vendor onboarding and subcontractor management. Organize company files, contracts, and documentation. Monitor company licenses, registrations, and insurance renewals. Support recruiting, onboarding, and employee records. Help implement automation and AI tools that improve company operations. Executive Support Manage executive calendar and scheduling. Coordinate meetings with clients, architects, engineers, and subcontractors. Prepare reports, presentations, and meeting materials. Track company goals and key performance indicators (KPIs). Assist with strategic planning initiatives. Handle confidential business information with professionalism. QualificationsRequired 5+ years of accounting, operations, construction administration, or office management experience. Experience with QuickBooks Online. Strong Microsoft Excel and Microsoft Office skills. Exceptional organizational and time management skills. Excellent written and verbal communication. Ability to prioritize multiple projects simultaneously. Strong attention to detail. Self-motivated with excellent problem-solving skills. High level of integrity and professionalism. Preferred Experience in commercial construction or real estate development. Experience with Buildertrend or similar construction management software. Understanding of construction accounting and job costing. Knowledge of AIA billing, lien waivers, and subcontract administration. Experience with payroll and HR administration. Associate's or Bachelor's degree in Accounting, Business Administration, Construction Management, or related field. Success in This Role After your first year, you will have helped: Establish accurate and timely monthly financial reporting. Improve project profitability through disciplined job cost tracking. Streamline accounting and administrative workflows. Reduce administrative burden on project managers. Ensure invoices, vendor payments, and change orders are processed efficiently. Improve operational systems that support company growth. Help build a scalable operational foundation as TrueBuilt expands throughout the Mid-Atlantic region. Pay:
$50,000.00 - $65,000.00 per year
