Job Description
Position Summary XTG Realty is seeking a hands-on Property & Business Accounting Manager to support the accounting and financial administration of a privately owned portfolio consisting of commercial retail properties and several operating businesses. The portfolio currently includes commercial retail properties, a restaurant, and two automotive service locations in the DFW area. The position will be responsible for property accounting in Yardi Breeze, bookkeeping and payroll support in QuickBooks, bank and credit-card reconciliations, accounts payable and receivable, monthly reporting, and routine coordination with tenants, vendors, and business managers. - Maintain accounting records for commercial retail properties in Yardi Breeze.
- Record and review tenant charges, rent payments, vendor invoices, and property expenses.
- Monitor tenant accounts, receivables, and outstanding balances.
- Assist with CAM/NNN expense tracking and annual reconciliations.
- Maintain accounts payable and vendor records.
- Perform monthly property bank and credit-card reconciliations.
- Coordinate with tenants regarding routine billing and accounting matters.
- Communicate with property vendors, contractors, and service providers as needed.
- Maintain organized records of leases, invoices, contracts, W-9s, insurance certificates, and related documents.
- Prepare monthly property-level financial reports for ownership. Restaurant Accounting & Payroll
- Maintain restaurant bookkeeping in QuickBooks.
- Record and categorize sales, operating expenses, and vendor invoices.
- Reconcile POS and merchant-processing deposits to bank activity.
- Perform bank and credit-card reconciliations.
- Assist with payroll processing and payroll records.
- Maintain accounts payable records and track vendor payments.
- Monitor major operating expenses and identify unusual variances or missing deposits.
- Prepare monthly P&L and basic management reporting for ownership. Automotive Businesses
- Maintain bookkeeping records for two automotive service locations.
- Perform monthly bank and credit-card reconciliations.
- Record and review revenue, expenses, vendor payments, and other transactions.
- Coordinate with store managers regarding deposits, invoices, expenses, and missing documentation.
- Maintain separate and accurate accounting records for each location.
- Prepare monthly financial reports and cash summaries for ownership. Banking & Cash Management
- Reconcile assigned operating and property bank accounts each month.
- Monitor cash balances and upcoming payment requirements.
- Maintain accurate records of transfers between accounts and entities.
- Assist ownership with payment preparation and banking documentation.
- Identify unusual, duplicate, missing, or unreconciled transactions and follow through to resolution. Vendor, Tenant & Administrative Coordination
- Follow up with tenants regarding outstanding balances and routine accounting questions.
- Coordinate with vendors regarding invoices, payment status, service matters, and required documentation.
- Obtain missing invoices, receipts, W-9s, insurance certificates, and other supporting records.
- Coordinate with outside CPAs, tax professionals, payroll providers, and banks as necessary.
- Escalate significant financial, tenant, vendor, or operational issues to ownership. Site Visits
- Make approximately 2-4 local site visits per month, or as needed, to commercial properties, the restaurant, and automotive locations.
- Meet vendors or contractors when ownership representation is needed.
- Verify completion of certain maintenance or repair work and collect required documentation.
- Coordinate with on-site managers and report significant issues to ownership. Monthly Reporting Expectations
- Property and business P&L statements.
- Bank and credit-card reconciliation status.
- Cash balances and significant upcoming obligations.
- Tenant/accounts receivable aging and accounts payable summary.
- Restaurant sales and major expense trends.
- Automotive location financial summaries.
- Outstanding accounting, vendor, or tenant matters requiring ownership attention. Qualifications
- 4+ years of bookkeeping, accounting, property accounting, or similar experience.
- Strong QuickBooks Online experience.
- Experience performing bank and credit-card reconciliations.
- Working knowledge of accounts payable, accounts receivable, general ledger, and payroll.
- Strong Excel skills.
- Ability to maintain accounting records for multiple legal entities without mixing transactions or records.
- Strong attention to detail, organization, and follow-through.
- Ability to work independently with limited supervision.
- Comfort communicating directly with ownership, tenants, vendors, banks, and business managers.
- High level of discretion when handling confidential financial and banking information.
- Valid driver's license and ability to travel locally as needed. Preferred Qualifications
- Yardi Breeze or other Yardi experience.
- Commercial real estate accounting experience.
- CAM/NNN reconciliation experience.
- Multi-entity or multi-location accounting experience.
- Restaurant or automotive business accounting experience.
- Experience working for a privately owned real estate portfolio, family office, property-management company, or multi-business owner.
