Part-Time Financial Operations Specialist Reports to: Operations Director Employment type:Part-time Schedule:
20-30 hours per week About the Role We are seeking a detail-oriented, service-minded Financial Operations Specialist to support the Operations Director and financial advisors in delivering an organized, responsive, and exceptional client experience. This part-time role is well suited for someone who enjoys coordinating details, working with financial information, improving processes, and keeping client service activities moving accurately and on time. What You'll Do Coordinate professional, timely client communication by phone, email, mail, online channels, and in support of meetings. Prepare documents, reports, and supporting materials for client and internal meetings. Document client communications, requests, and follow-up activities accurately in the customer relationship management (CRM) system. Partner with the Operations Director to track projects, deadlines, workflows, and office initiatives. Support advisors by gathering and organizing information needed to serve clients, including investment review materials, portfolio reports, and other analytics. Perform accurate data entry and maintain organized electronic and physical records in accordance with firm procedures.• Identify opportunities to improve administrative and operational processes. Maintain confidentiality and handle sensitive client and financial information with discretion. Assist with special projects and other duties that support the team and client experience. What We're Looking For Strong attention to detail, accuracy, and follow-through. Excellent organization and time-management skills, with the ability to prioritize multiple assignments and meet deadlines. Professional written and verbal communication skills and a client-first approach.• Ability to work independently, use sound judgment, and collaborate effectively with a small team. Proficiency with Microsoft Word and Outlook; advanced Microsoft Excel skills strongly preferred. Comfort learning and using CRM systems, portfolio reporting tools, and other financial-services technology. Ability to read and follow written procedures, interpret reports, and communicate routine information clearly. Working knowledge of percentages and basic financial concepts, with the ability to review information for accuracy. Problem-solving mindset and an interest in improving processes Ability and willingness to study for and complete required licensing examinations, if applicable. Education and Experience Bachelor's degree in business, finance, or a related field preferred; an equivalent combination of education and relevant experience will be considered. One to three years of experience in financial services, operations, client service, or a related administrative role preferred. Experience with investment or insurance products is a plus.
