Job Description

The Part-Time Prior Authorization Specialist and Administrative Assistant provides administrative and care coordination support to the Psychiatric Mental Health Nurse Practitioner (PMHNP) to ensure efficient practice operations and an excellent client experience. This role serves as a primary point of contact for clients regarding scheduling, insurance authorizations, medication-related administrative needs, and general communication while supporting clinical workflow. The Part-Time Prior Authorization Specialist and Administrative Assistant works closely with the PMHNP and RDU Counseling for Change Administrative Staff to maintain continuity of care, improve office efficiency, and assist with non-clinical aspects of medication management and client follow-up. Essential Responsibilities Schedule new and follow-up appointments according to provider preferences and practice guidelines. Confirm appointments and send reminders. Verify completion of required intake paperwork and consent forms. Maintain provider schedules and communicate appointment changes promptly. Manage waitlists and coordinate rescheduling when needed. Insurance and Prior Authorizations Submit and track prior authorizations for medications, laboratory services, and other treatment-related requests. Verify insurance eligibility and benefits when appropriate. Follow up with insurance companies, pharmacies, and clients regarding authorization status. Maintain accurate documentation of authorization requests and outcomes. Medication-Related Administrative Support Receive and document medication refill requests. Coordinate communication between clients, pharmacies, and the PMHNP regarding medication questions. Assist with obtaining pharmacy information and refill histories as directed. Monitor medication-related tasks and route concerns to the PMHNP promptly. Facilitate laboratory orders and documentation as instructed by the provider. Client Communication and Care Coordination Serve as a professional point of contact for client calls, messages, and portal communications. Assist clients with administrative questions regarding appointments, forms, insurance, and office procedures. Maintain task lists and follow-up systems to ensure timely completion of requests. Coordinate referrals, records requests, and outside provider communication as directed. Administrative Support Maintain accurate client records in the electronic health record (EHR). Scan, upload, and organize documents. Assist with office procedures, forms, and workflow improvements. Ensure compliance with HIPAA and confidentiality requirements. Required Qualifications High school diploma or equivalent. Minimum of 1-2 years of experience in a medical, behavioral health, or psychiatric office setting. Knowledge of medical terminology and insurance processes. Experience with prior authorizations and scheduling. Strong organizational and communication skills. Proficiency with electronic health records (EHRs) and office software. Ability to manage multiple tasks while maintaining attention to detail. Preferred Medical Assistant certification or equivalent experience. Experience in psychiatry, mental health, or medication management settings. Familiarity with CPT, ICD-10, and insurance billing processes. Experience with psychiatric practice software and client portals. Role Boundaries The Part-Time Prior Authorization Specialist and Administrative Assistant is a non-licensed support position and may not: Diagnose mental health conditions. Provide psychotherapy or counseling. Independently assess symptoms or clinical concerns. Prescribe, change, recommend, or discontinue medications. Provide medical advice or interpret laboratory results. Make independent clinical decisions. All clinical questions, medication concerns, symptom reports, or treatment decisions must be directed to the PMHNP. Skills and Competencies Excellent customer service and professionalism. Problem-solving and follow-through skills. Suggested Pay Range (United States) Pay is $19-$20 an hour.
