The Transaction Coordinator is responsible for supporting the Processing Department throughout the lifecycle of a hard money loan transaction, from initial file setup through closing and funding. This position serves as a central point of coordination between borrowers, loan processors, loan officers/originators, title and escrow companies, insurance agents, and internal departments to ensure each transaction progresses efficiently and meets established closing timelines. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing a high-volume pipeline with multiple transactions at different stages of the closing process. This role requires excellent communication, strong follow-up skills, and the ability to identify outstanding items and potential closing delays before they become issues. Key Responsibilities Transaction & Pipeline Coordination Coordinate assigned loan transactions from initial processing through closing and funding. Set up new loan files and confirm all required borrower, property, entity, and transaction information has been received. Maintain accurate loan milestones, closing dates, and transaction statuses within the company's loan origination and/or processing systems. This will be accomplished through a high volume of phone calls with the stakeholders in the transaction, ensuring we are updated and they are aware of outstanding items they are responsible for. Monitor assigned transactions daily and proactively identify outstanding items that could impact closing. Maintain an organized pipeline and prioritize files based on closing date, urgency, and outstanding requirements. Communicate changes to closing dates, transaction structure, or other material information to the appropriate internal team members. Ordering BPOs as files are opened, monitoring the status of these BPOs and providing necessary information to get them back quickly. Borrower & Third-Party Communication Provide borrowers with clear instructions regarding outstanding documentation and closing requirements. Follow up consistently on outstanding items and maintain accurate records of communication. Coordinate with title and escrow companies regarding title commitments, closing protection letters, and wiring instructions. Communicate with insurance agents to obtain evidence of insurance and confirm lender requirements are properly reflected. Maintain professional and responsive communication with borrowers, brokers, loan officers, title companies, and internal departments. Processing & Underwriting Support Assist Loan Processors with preparing files for underwriting review. Assist with following up with underwriting to confirm if contingency items that have been provided are cleared and approved. Track outstanding underwriting conditions and communicate requirements to the appropriate parties. Escalate material discrepancies, or transaction changes to the Loan Processor or Processing Manager. Title, Escrow & Closing Coordination Coordinate with title and escrow companies throughout the closing process. Confirm closing dates, and escrow contact information. Coordinate resolution of outstanding pre-closing items with the Loan Processor and other internal departments. Internal Communication & Department Coordination Maintain consistent communication with Processing, Underwriting, Origination, and Post-Closing teams. Provide timely updates regarding transaction status, outstanding items, and potential closing delays. Performance Expectations Success in this position will be measured by the Transaction Coordinator's ability to: Keep assigned transactions moving toward their scheduled closing dates. Maintain accurate and up-to-date loan files and pipeline information. Provide timely and professional communication to borrowers and third parties. Minimize preventable closing delays caused by missing documentation or lack of follow-up. Maintain accuracy while managing a high-volume pipeline. Meet department service-level expectations and internal deadlines. Qualifications Required Strong organizational and time-management skills. Exceptional attention to detail and accuracy. Excellent written and verbal communication skills. Ability to manage multiple transactions and competing deadlines simultaneously. Strong follow-up skills and ability to take ownership of outstanding items. Ability to work effectively in a fast-paced, deadline-driven environment. Comfortable communicating directly with borrowers, title companies, escrow officers, insurance agents, and other third parties. Proficiency with Microsoft Office, Adobe Acrobat, email, and document-management systems. Ability to learn and effectively use loan origination and servicing software. Preferred Previous experience in mortgage lending, private lending, hard money lending, title/escrow, real estate transactions, or loan processing. Experience working in a high-volume lending environment.
