This role requires strong attention to detail, proactive communication, and the ability to keep files current in real time while coordinating with borrowers, loan officers, underwriters, third-party vendors, and real estate partners.
Key Responsibilities Manage assigned loan files independently from submission through closing, ensuring documentation is updated promptly and accurately. Send introduction emails to borrowers and maintain proactive communication throughout the loan process. Review loan files for red flags, missing documentation, and potential underwriting concerns. Pre-underwrite files and identify additional documentation needed prior to submission to underwriting. Complete income reviews and verify borrower documentation for accuracy and completeness. Send initial disclosures and assist with locking loans when the Loan Officer is unavailable. Follow up after submission to ensure files continue moving efficiently through the pipeline. Third-Party Service Coordination Order and track third-party services, including homeowners insurance, appraisal, title, Certificate of Eligibility when applicable, and written verifications of employment when needed. Ensure appraisal orders are placed immediately and monitored closely to support contract and contingency deadlines. Coordinate with borrowers, real estate agents, AMCs, and internal partners to confirm inspection scheduling and report delivery. Monitor appraisal timelines, send inspection date updates to agents, and escalate critical delays when necessary. Processing, Conditions, and Closing Track financing and appraisal contingencies to ensure all deadlines are met. Contact borrowers within one business day of conditional approval to review outstanding conditions. Provide borrowers with clear condition lists and follow up consistently to obtain required documentation. Order rapid rescores when appropriate and support loan restructuring when needed. Follow internal escalation procedures before re-selling or restructuring a loan. Manage Closing Disclosures through closing and review the CD with borrowers to support timely execution under TRID requirements. Enter closing details on the shared calendar, including date, time, and location. Close out completed files by the end of the next business day following closing. Request borrower and business partner reviews and referral opportunities, and submit weekly tracking reports as required. Qualifications Prior residential mortgage loan processing experience required. Strong understanding of loan documentation, income review, conditions management, disclosures, appraisal timelines, and closing requirements. Knowledge of TRID requirements and mortgage compliance expectations. Ability to manage multiple loan files and deadlines in a fast-paced environment. Excellent written and verbal communication skills with borrowers, loan officers, underwriters, agents, and vendors. Strong attention to detail, follow-through, and problem-solving ability.
