Night auditors are the fiscal managers for the hotel. Along with operating as guest service agents, they watch the activity from day to day and ensure that our financial and statistical data is accurate. They prepare daily reports for all managers and distribute those reports to the appropriate departments. This critical position is also responsible for ensuring the safety and security of our guests and our building in the overnight hours, and they act as a manager on duty for the hotel during the overnight shift To close the day, ensure all revenues, receipts, and ledgers are balanced, check-in and out hotel guests, answer telephones, provide maximum levels of guest service, and support the hotel's rooms division in any way required to ensure complete guest satisfaction.
Responsibilities:
1. Learn and follow service standards at all times 2. Display, at all times, a friendly, courteous, and professional manner in all dealings with guests, patrons, and other employees. 3. Greet, register, and assign rooms to guests of the hotel. 4. Verify customers' credit, and establish how the customer will pay for the accommodation upon check-in. 5. Keep records of room availability and guests' accounts using a computerized property management system. 6. Perform simple bookkeeping activities, such as balancing receipts and revenues for the day, and perform income audit on all revenues posted (i.e., calculating restaurant checks and telephone charges to ensure proper revenues have been posted) prior to closing the day. 7. Review accounts and charges with guests during the checkout process. 8. Transmit and receive messages using telephones or email. 9. Contact overnight housekeeping or maintenance staff when guests report problems. 10. Make and confirm reservations. 11. Answer inquiries pertaining to hotel services, registration of guests, and shopping, dining, entertainment, and travel directions. 12. Record guest comments or complaints, referring customers to managers as necessary. 13. Answer all incoming phones in three rings or less. 14. Complete various checks to ensure all accounts are current and comply with standards established by the hotel's Controller and Front Office Manager. 15. Participate in task forces and committees as requested. 16. Act as Manager on Duty during the overnight hours to resolve all disputes and all emergencies that may occur during the shift. 17. Prepare all express-checkout folders for guests departing the next day and coordinate delivery to all guest rooms by 5 AM. 18. Complete key packets and welcome packets and to modify registration cards. 19. Check guests out of the hotel in accordance with procedures, make changes, and post charges to guest accounts. 20. Maintain a balanced bank assigned by the hotel. The hotel will conduct periodic spot counts of all desk banks. 21. Handle hotel emergency procedures and situations with maturity and professionalism. 22. Log and complete all wake-up calls according to the standard of service. 23. Process all no-show rooms for billing 24. Assume the responsibilities of the Front Office Supervisor in his/her absence. 25. Perform special projects and other responsibilities as assigned 26. Be an outgoing, welcoming personality for the hotel. Use logical thinking and personal judgment to perform a variety of office tasks. Make decisions based on your own judgment and company policy. Follow instructions without close supervision. Speak and write clearly and accurately. Be available to work overnight shifts, weekends, and holidays.
Physical Demands:
Lifting 10 lbs. maximum and occasionally lifting and/or carrying such articles as dockets, ledgers, and small tools. Walking and standing are required only occasionally. Reaching, handling, feeling, talking, hearing, and seeing.
