Our family office is seeking a proactive HR and Payroll Manager to lead HR operations, compliance, and employee experience. This is a hands-on role for someone who enjoys owning the HR function in a dynamic environment and wants to make a measurable impact on employee experience and organizational efficiency.
Key Responsibilities:
Serve as the primary HR point of contact for all employees, providing timely guidance, support, and issue resolution. Oversee end-to-end HR operations, including onboarding, offboarding, benefits administration, performance documentation, and employee relations. Maintain full compliance with federal, state, and local employment laws; proactively recommend and implement policies to reduce risk and improve clarity. Manage payroll operations through Gusto, ensuring accuracy and timely processing twice per month. Administer timekeeping, scheduling, and labor compliance through Deputy. Maintain employee records, HRIS data integrity, and documentation standards. Screen applicants, coordinate interviews, and support hiring managers in recruitment efforts. Lead the annual update of the Employee Handbook and operational manuals; assist leadership with new policy development. Support managers with coaching, corrective action processes, conflict resolution, and general HR advising. Track HR metrics, trends, and retention insights to inform leadership decision-making. Reinforce company culture through effective communication, employee engagement, and consistent HR practices. Assist in resolving member issues when escalated above the General Managers Report daily member signups and cancellation information on the company's template form and distribute to all managers and ownership Prepare and distribute month-end member totals Project upcoming monthly dues billings with reports from ABC Financial and communicate with regional managers, projecting the P&L Main liaison with ABC on all reporting and resolve discrepancies. Make sure all membership contracts have been entered in ABC and randomly audit 5-10 contracts per month Coordinate with Management regarding billing issues Calculate Sales and Training commissions from billing software for payroll Track and submit city, state, and federal compliance deadlines for all our entities (i.e., statements of information, annual business license renewals, alarm and fire permits, etc.) Collect, review, and track certificates of insurance for vendors Assist management with insurance renewals and underwriting Skills & Abilities Strong command of HR best practices and employment regulations. Exceptional judgment, confidentiality, and discretion. Advanced organizational skills with the ability to manage multiple priorities. Confident communicator with strong written and verbal skills. Demonstrated critical thinking, problem-solving, and a proactive, solutions-driven mindset. Comfortable adopting and mastering new systems; proficiency in Gusto and Deputy strongly preferred. Spanish language skills are a plus (not required). Qualifications Minimum 2-3 years of experience in an HR Manager or HR Generalist role. Bachelor's degree in HR, Business, Psychology, or related field. HR certification (SHRM-CP, PHR, PHR-CA, or equivalent) preferred. Experience in a small business or fast-paced environment is highly valued.
Role compensation:
The base salary range for this position is $80,000 - $90,000 per year. The exact compensation offered will depend on several factors, including the candidate's skills and experience. This role is on-site, five days a week, in San Rafael, CA, and is full-time, exempt. Office hours are 9:00 am-6:00 pm.
