Position Overview:
Laurel Supply is seeking a highly organized, detail-oriented, and dependable Bookkeeper / Payroll & Store Accounting Coordinator to support the store's accounting, payroll, and administrative functions. This role is responsible for maintaining accurate financial records, coordinating payroll processing, managing accounts payable and accounts receivable, supporting reconciliations, and ensuring timely, organized reporting for ownership, company leadership, and store operations. This position plays a critical role in maintaining clean financials, protecting margin, supporting labor and payroll accuracy, and ensuring the business operates with discipline and precision. The ideal candidate is hands-on, trustworthy, comfortable handling confidential information, and capable of supporting day-to-day store operations while providing accurate financial and payroll support. Key Responsibilities Accounts Payable Process, review, and enter vendor invoices accurately and in a timely manner Match invoices to purchase orders and receiving documentation Verify pricing, quantities, and terms, and promptly flag discrepancies Manage vendor payment schedules in accordance with agreed terms Maintain organized AP files and proper supporting documentation Communicate with vendors regarding payment status, account issues, and discrepancies Accounts Receivable Manage outgoing invoices, billing, and collections as applicable Track incoming payments and reconcile against outstanding balances Maintain accurate AR aging and follow up on past-due accounts Coordinate with leadership regarding credit terms, account issues, and collections Payroll Processing & Labor Support Process and/or coordinate regular payroll accurately and on schedule Review timecards, punches, paid time off, sick time, tip and service charge data, and pay rate changes prior to payroll submission Coordinate payroll changes related to new hires, terminations, leaves, status changes, and compensation updates Review overtime, missed meal and rest break premiums, and other payroll-related compliance items for accuracy Administer payroll deductions and withholdings, including benefits, garnishments, and wage orders Reconcile payroll reports, taxes, deductions, and payroll-related liability accounts Maintain payroll records and supporting files in a confidential and audit-ready manner Support year-end payroll reporting, workers' compensation audits, and payroll-related audits or requests Working knowledge of California labor laws related to payroll and scheduling, including meal and rest break compliance, overtime, minimum wage, and accurate timekeeping. Bookkeeping & Financial Management Maintain accurate daily, weekly, and monthly financial records Perform bank, credit card, and account reconciliations Assist with weekly sales reporting, labor reporting, and financial summaries Monitor and report discrepancies, shortages, billing errors, and unusual variances Support month-end and year-end close processes Prepare supporting schedules and documentation for accounting, leadership, and ownership review Help maintain strong internal controls and clean audit-ready records Tax & Compliance Support Prepare and file sales tax returns accurately and on time Maintain supporting schedules, reconciliations, and backup for sales tax, payroll tax, and year-end reporting Organize and maintain tax-related documentation in an audit-ready manner Assist with agency notices, tax correspondence, and requests for supporting documentation Store Accounting Coordination Oversee the full invoice-to-payment lifecycle from receipt through reconciliation Track vendor terms, payment cycles, and cash flow timing Assist with cost of goods, margin tracking, inventory accounting, and shrink reporting Support store leadership with timely and accurate operational and financial information Escalate issues, unusual trends, and operational concerns promptly and professionally Systems & Technology Daily use of QuickBooks for AP/AR, reconciliations, and reporting Utilize MarginEdge for invoice processing, cost tracking, and margin management Work within Toast POS to reconcile sales, labor, and daily reporting Maintain strong data integrity across all systems Daily / Weekly Responsibilities Process daily invoices, receipts, and reconciliations Maintain AP/AR logs, payroll support files, aging reports, and payment schedules Review weekly labor and payroll-related reporting for accuracy Conduct invoice audits and discrepancy follow-up Assist with inventory and cost tracking Prepare weekly financial and payroll recaps for leadership and ownership Qualifications 5+ years of bookkeeping, accounting, or payroll experience required Strong hands-on experience with accounts payable, accounts receivable, reconciliations, and payroll processing Experience with QuickBooks, MarginEdge, Toast, and payroll/timekeeping systems strongly preferred Experience processing payroll deductions and withholdings, including garnishments and wage orders, strongly preferred Strong understanding of payroll accuracy, reconciliations, financial reporting, and recordkeeping requirements High attention to detail with strong organizational and follow-through skills Ability to manage confidential employee and compensation information with discretion Ability to manage multiple priorities in a fast-paced retail, restaurant, grocery, or hospitality environment Strong communication skills and the ability to work effectively with store leadership, company leadership, and ownership Core Competencies Accuracy and attention to detail Financial discipline and accountability Organization and time management Problem-solving and discrepancy resolution Sound judgment and confidentiality Strong ownership and follow-through Reporting Structure Directly reports to ownership, with day-to-day coordination with the Store Director Works closely with company leadership Provides regular reporting and support to ownership Additional Expectations Must be adaptable and willing to support the needs of the business May be assigned additional projects or responsibilities based on operational needs Expected to support a highly organized, accountable, and disciplined operating environmentPay:
