Job Description

Position Summary:
We are seeking a detail-oriented Payroll Specialist with strong communication skills and a minimum of 2 years' payroll experience. The ideal candidate is proficient with QuickBooks, comfortable working in a fast-paced staffing environment, and able to coordinate with internal teams, clients, and temporary staff to ensure accurate, timely payroll processing and compliance.
Key Responsibilities:
Process payroll for temporary and contract employees on a regular schedule (weekly/biweekly as applicable). Enter and reconcile timecards, hours, pay rates, deductions, and reimbursements. Maintain accurate payroll records and ensure compliance with federal, state, and local payroll regulations. Run payroll reports, reconcile payroll to general ledger, and assist month-end close activities. Prepare and remit payroll taxes and filings, and support tracking of garnishments, benefits, and PTO. Respond to payroll inquiries from employees, recruiters, and clients in a clear, professional, and timely manner. Work with HR/recruiting teams to onboard new hires, verify employment data, and maintain confidential personnel records. Troubleshoot and resolve payroll discrepancies and collaborate with accounting to correct errors. Support year-end activities including
W-2/1099
preparation and audits. Recommend process improvements and document payroll procedures.
Required Qualifications:
Minimum 2 years payroll experience, preferably in a staffing or high-volume environment. Proficient with QuickBooks (payroll module); experience integrating timekeeping systems a plus. Strong verbal and written communication skills; comfortable communicating with team members, clients, and contractors. Solid knowledge of payroll laws, tax regulations, and best practices. Strong attention to detail, organization, and ability to meet tight deadlines. Proficient with Microsoft Excel and general accounting principles. High level of discretion handling confidential information.
Preferred:
Payroll certification (CPP, FPC) or related coursework. Experience with ATS/timekeeping systems (e.g., TSheets, Kronos, TempWorks). Familiarity with multi-state payroll processing.
