Job Description
Overview We are seeking a dedicated and detail-oriented Administrative Assistant and Payroll Clerk to join our dynamic team. This role is essential in supporting administrative operations and ensuring accurate payroll processing across the organization. The ideal candidate will possess strong organizational skills, technical proficiency in various payroll and accounting systems, and a comprehensive understanding of employment laws and financial concepts. Responsibilities Manage and coordinate payroll processing using systems such as Workday, ADP, Paychex, UltiPro, Kronos, or Ceridian, ensuring timely and accurate salary disbursements. Maintain employee records within HRIS (Human Resource Information Systems) and payroll software, updating personal information, tax details, and benefit enrollments. Reconcile payroll data with accounting records, including general ledger entries, journal entries, and account reconciliations. Ensure compliance with employment and labor laws by applying current regulations related to payroll tax withholding, reporting requirements, and labor standards. Handle confidential information with discretion while managing payroll data entry, employee inquiries, and documentation. Assist with administrative tasks such as scheduling meetings, managing correspondence, and maintaining office supplies. Support financial activities by preparing reports on payroll expenses, analyzing discrepancies, and assisting with governmental accounting procedures. Collaborate with finance teams to ensure proper classification of expenses within accounting software like QuickBooks or similar platforms. Monitor time & attendance systems to verify hours worked and approve leave requests in accordance with company policies. Support audit preparations by providing necessary documentation related to payroll and financial transactions. Experience Proven experience in payroll management or accounting roles within a corporate environment. Familiarity with payroll systems such as Workday, ADP, Paychex, Kronos, UltiPro, or Ceridian is highly desirable. Strong knowledge of accounting principles including double entry bookkeeping, general ledger reconciliation, debits & credits, and journal entries. Experience working with HRIS platforms and time & attendance systems for accurate data management. Understanding of employment & labor law as it pertains to payroll processing and employee rights. Proficiency in spreadsheets (Excel), financial software (QuickBooks or similar), and other accounting tools. Demonstrated ability to handle confidential information responsibly while maintaining accuracy in data entry. Analytical skills for account reconciliation, discrepancy resolution, and financial analysis are essential.
