Job Description
Overview We are seeking a highly organized and detail-oriented Payroll Specialist to join our dynamic finance team. In this role, you will be responsible for managing all aspects of payroll processing, ensuring compliance with applicable labor and tax laws, and maintaining the confidentiality of sensitive employee information. The ideal candidate will possess a strong background in payroll management, accounting software proficiency, and a comprehensive understanding of human resources and labor regulations. This position offers an excellent opportunity to contribute to the smooth operation of our payroll functions while supporting organizational compliance and accuracy. Responsibilities Process payroll accurately and efficiently using various payroll systems such as Workday, ADP, Paychex, Ceridian, UltiPro, Kronos, or PeopleSoft. Ensure timely calculation and deduction of payroll taxes, benefits, and other withholdings in accordance with federal, state, and local regulations. Maintain detailed records of employee hours, wages, deductions, and benefits through time & attendance systems and HRIS platforms. Reconcile payroll accounts regularly to ensure accuracy and resolve discrepancies promptly. Prepare reports related to payroll expenses, tax filings, and labor law compliance for internal review and external audits. Stay updated on employment & labor law changes affecting payroll processing and ensure organizational adherence. Handle confidential employee information with discretion and integrity. Collaborate with Human Resources and Finance teams to support benefits administration and employee inquiries. Assist with year-end reporting processes such as W-2s and 1099s. Support the integration of new payroll software or updates to existing systems to improve efficiency. Qualifications Proven experience in payroll management or related accounting roles with a strong understanding of payroll systems including Workday, ADP, Paychex, Kronos, or UltiPro. Familiarity with accounting software such as QuickBooks or other financial management tools. Knowledge of employment & labor law, tax law, payroll tax regulations, and compliance standards. Strong analytical skills with the ability to interpret financial data accurately. Proficiency in spreadsheets (Excel) for data entry, analysis, reconciliation, and reporting. Experience in corporate accounting practices including general ledger reconciliation, journal entries, debits & credits. Excellent organizational skills with attention to detail and accuracy. Ability to handle sensitive information confidentially while maintaining professionalism. Basic understanding of human resources processes related to benefits administration and time & attendance tracking.
